Director of Administration II

Department of Fleet and Facility Management

Facilities Bureau

Number of Positions: 1

(Additional vacancies possible pending budget approval)

Starting Salary: $80,628.00/year

The City of Chicago is seeking a Director of Administration II to manage and supervise administrative functions in support of the operations of for the Department of Fleet and Facility Management; and performs related duties as required

ESSENTIAL DUTIES

+ Maintain budget within Bureau to ensure that budgetary goals are met.

+ Responsible for investigating all financial inconsistencies with the SOP.

+ Assigns, monitors, and supervises the workflow of staff.

+ Participates in planning meetings with vendors.

+ Collaborate with Managers to ensure a project is performed and completed within the scope of work and timelines of the contract.

+ Compiles and prepares reports for annual budgeting and/or special projects.

+ Perform searches in the Chicago Budget System, Business Objects, Infor EAM System, 2FM Overtime Management, Vendor Estimate Forms (VEF) & FMPS (Financial Management and Purchasing System).

+ Correspond and manage vendor services, invoicing, and issues with city contracts.

+ Audit and approve invoices for all bureau contracts.

Additional duties may be required for this position

Location: 1869 West Pershing Road

Days: Monday-Friday

Hours: 8:30 a.m. to 4:30 p.m.

THIS POSITION IS IN THE CAREER SERVICE

Qualifications:

Graduation from an accredited college or university with a Bachelor’s degree in Business or Public Administration or directly related field, plus four years of budgetary, human resource or office administration experience of which two years are in a supervisory role related to the responsibilities of the position, or an equivalent combination of education, training and experience

SELECTION REQUIREMENTS

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

Department of Human Resource staff will review applications after the final posting date.
