Administrative Coordinator
What you will do
Let’s do this. Let’s change the world. In this vital role you will provide complex administrative support to various team members within the Ultra-Rare Medicines team.
+ Ensures timely coordination of department members’ administrative needs:o Manages multiple and/or or complex team calendars (Outlook)o Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelerso Organizes meeting rooms, including logistics, catering and equipment needso Prepare and process forms, documents and correspondence; anticipates, revises and sends correspondence Making travel arrangements and preparing expense reports
+ Assisting with special projects
+ Coordinating processes including invoicing, purchase orders, mailings and courier/deliveries
+ Maintaining department email distribution lists
+ Preparing agendas and taking action-items as the need arises

Basic Qualifications:
Associate’s degree and 2 years of administrative experience
OR
2 years in a technical school setting with hands-on experience
OR
High school diploma / GED and 4 years of administrative experience
Preferred Qualifications:
+ 5+ years experience in an administrative support role
+ Strong Outlook, Excel, PowerPoint Skills
+ Knowledge of SAP, WebEx, MSTeams, SharePoint and Concur
+ Experience working in biopharma industry
+ Strategic problem solver who loves to “think ahead” and anticipate solutions to logistical issues
+ Ability to work in a fast-moving, results oriented environment
+ Discretion in dealing with proprietary information
+ Helpful, can-do attitude with a solution-oriented approach
+ Polite and personable ‘team player’
+ Skilled at remaining calm under pressure
