Position Summary, Requirements, and Qualifications


Overview
The Latino Resource Center (LRC) is under the Division of Academic Diversity, Equity and Inclusion at NIU. Making a home away from home for students, the LRC focuses on Hispanic or Latin/o/a/x/e success for students, faculty and staff; however, all members of the community are welcome, and we encourage diversity amongst our staff. The main goal of this position is to support the development of NIU students so that they may attain their academic and professional aspirations.


The Latino Resource Center is looking for a reliable experienced program assistant that will: undertake administrative tasks, assure the rest of the staff have adequate support to work efficiently, effectively prioritize tasks to provide the best student-centered service possible, be self-motivated, trustworthy, and able to work with little supervision to ensure smooth running of our department and contributes driving sustainable growth.
Position Summary
The Program Assistant serves as the primary contact for the Latino Resource Center (LRC). This position assists with facilitating and coordinating projects, programs, and initiatives within the LRC. Actively participates in the departmental planning process and provides the resources for staff to accomplish assigned tasks. Provides support to the LRC Director and Assistant Director in matters of administrative details relating to managing the Center. Responsible for the smooth, efficient, and effective operation of the office.
Essential Duties and Responsibilities
Program Management - 40%
Provides leadership for the development, administration of programs, and special projects.
Manage all detailed logistics LRC Room reservations, Coordinate reservations on campus and off campus.
Responsible for details such as AV equipment, catering needs before the event deadlines, set up and breakdown, room setup.
Provide facilitation and execution on all LRC main events, open house, Latin Chill, Latino History Month, Latino Graduation Celebration, Welcome Back Brunch and other traditional programs.
Coordinate room reservations of the LRC for tours and facility use, manage protocols for space usage, including updating policies under the direction of the LRC Director, suggesting alternative campus locations when space is booked, navigating last minute requests, and coordinating space set-up needs.
Aid the LRC staff with all programing needs such as creation of program, itinerary and detailed run of show with oversight provided by directors.
Manage volunteers for large scale events.
Review and edit the Center's documents, such as Newsletters flyers/brochures, posters and announcements for content, spelling, punctuation, and format according to university policies.
Monitor the Latino Resource Center website and advises the Assistant Director of necessary changes and updates on the website and social media outlets.
Schedule arrangements for guest speakers and musical groups, including travel, limousine service, arrangements for performance including audiovisual equipment, refreshments and other supplies.
Work with the Center for Latino and Latin American Studies office on scheduling Latino Center room reservations.
Gathers data to assess program effectiveness.


Administrative and Operations - 30%
Provide administrative and operational assistance to the department including but not limited to:
Daily opening and closing of the Latino Resource Center.
Answer phones, take and route messages, respond to questions from current and prospective students, faculty, staff, center guests and the general public.
