Job Description

The Highlights:
The Program Assistant manages administrative duties of the Study Abroad office, primarily in the areas of office management, student employees, marketing, record and data management, and general inquiries and student advising. The Program Assistant reports to the Director of Study Abroad but supports administrative and student-facing tasks and initiatives across the department.
What You'll Do:

Office Management & General Supervision of Student Employees
Responsible for administrative duties of the Study Abroad offices, including maintenance of office resources and supplies, appearance and flow of front offices, and access requests and review for staff to various systems.
Oversee the hiring, training, and management of general front office tasks of about four student employees of diverse backgrounds.
Record and Data Management
Responsible for record management for the Study Abroad office.
Create, distribute, and pull reports for program evaluations.
Report on applications and enrollment, and share those reports with on-campus partners, as appropriate.
Manage student travel registration, including supporting students, and faculty and staff leaders.
Coordinate and complete course registration tasks, including class activations, student registration, and record keeping.
Assist with application management system processes across programs.
Student Advising and Marketing
Lead front desk team of student employees in responding to general inquires and advising for walk-ins, as well as via email, phone, Zoom, and chat accounts. This may include assisting students selecting programs, scholarships and financial aid for study abroad, applications, course registration, program logistics, and other requested support.
Manage the On-Campus Study Ambassador program for returning students.
Additional tasks that support study abroad administration.
What You'll Need:
Bachelor's degree required
1 year of general office experience preferred
Microsoft Office products, including Excel, Word, and Outlook
Detail orientated, resourcefulness and strong Interpersonal skills required
Ability to work with colleagues and students from a variety of background, including underrepresented students required
International experience and/or foreign language proficiency preferred
Knowledge and understanding of diversity, equity, and inclusion in higher education preferred
Terra Dotta, People Soft, Adobe, and/or Canva preferred
Basic social media skills preferred
Ability to work occasional evening and weekend work may be required
