Because of our growth, we are seeking an experienced Office Manager I in the Fairview Heights, IL area.
Job Summary: The Office Manager manages administrative staff and is responsible to insure supports and maintains office services by organizing office operations and procedures.

 


Responsibilities

 

Office Management: Manage assigned administrative staff to effectively support an office or multiple offices as required. Coordinate daily administrative support services: facilities, security, mail distribution, record management, and other office administrative support services. Design and maintain filing systems. Monitor clerical functions. Retain, protect, retrieve, transfer, and dispose of records. Maintain records and databases as requested. Review current processes and recommend procedural or policy changes to improve operations. Oversee daily facilities maintenance and custodial operations. Work with Facilities Manager on any office renovations/moves handling all onsite needs and assigned tasks. Coordinate office events, including employee appreciation events, local charity events and corporate sponsored events.
Firmwide Support: Provide high level administrative support to senior level staff, including meeting arrangements, travel arrangements, assist in assembling meeting documents and reports and other types of support as needed. Work with other office management/leaders to provide a positive and supportive work environment for all staff. Acts as liaison between local employees and the Group Manager, Business Administration (GMBA). Acts as company representative for newly hired employees within office and participates in New Hire Orientation with GMBA as appropriate. Actively involved in support for firm-wide program(s).

 


Qualifications

 

* Must have ten (10) years of related professional work experience.
* Overtime and weekend work required as needed.
* Must possess expert Microsoft Office suite skills.
* Must have excellent time management skills.
* Must have excellent communication skills.
* Strong attention to detail.
Preferred Qualifications:
* AA/AS and/or BA/BS degree in related field of study.
Travel:
* Must be able to travel up to 10% of the time.
Resulting Physical Qualifications:
* Must be able to sit for extended periods of time.
* Must be able to operate and manipulate standard office equipment.
* Must be able to frequently reach, bend, climb and/or balance.
* Must be able to frequently lift and/or move 10 pounds and occasionally lift and/or move up to 40 pounds.
