Job no: 502484 Work type: Regular Full-Time Location: Chicago – 55 East Monroe Street, IL Capability Area: Facilities JOB SUMMARY: Provides exceptional service to the business by greeting/assisting all employees and clients and answering and transferring incoming calls. Also responsible for performing workplace services including, but not limited to: Onsite Meeting Support, Copy, Mail, Print, Courier, and Hospitality. DEPARTMENT: Facilities & Workplace Services The Facilities & Workplace Services team is responsible for day-to-day operations at each of NORC’s office locations. This includes real estate planning, space planning and management, emergency procedures, access control, security and key card services, construction management, travel management, mail and shipping operations, print center operations, front desk services, furniture purchasing, office maintenance, and general upkeep and cleanliness. RESPONSIBILITIES: Reception:

+ Responsible for front desk reception services of NORC’s Chicago Loop office, providing a high level of customer service. Answer switchboard and process/transfer incoming calls according to front desk procedures. Welcome clients, interviewees, etc. and check-in according to NORC security procedures; greet NORC employees; ensure compliance with NORC’s ID policy and complete reporting, distribute guest access fobs and visitor IDs as needed

Workplace Services:

+ Performs Administrative duties as needed

+ Periodic support to other Administration departments and projects

+ Assists with the coding and timely submittal of invoices for all offices, including invoice processing and check requests. Assists with tracking inventory (standing desks in office, Ergo WFH enhancements, etc.)

+ Back up for print and mail services

Emergency Response & Security:

+ Assists F&WS leadership with Life Safety team and updates to Emergency Action Plans

Onsite Meeting Support:

+ Provides support for onsite meetings in collaboration with F&WS team and other admins; quality control conference room maintenance (capacity, clean-up, etc.) and conference room calendars

Facilities Management:

+ Monitors work order ticketing system processing Visitor/Vendor registrations, and other tickets as directed to ensure all are addressed and closed out in a timely manner

+ Submit operations issues to building ticket system as needed

+ Assists with weekly postage reporting and the activation and deactivation of all print/copy charge codes

+ Assists with onboarding and offboarding of staff in collaboration with F&WS team including workstation set-up/break-down, directory and floorplan updates, etc.; coordinates internal Moves Adds and Changes

Vendor Management:

+ Notifies F&WS managers of vendor arrival and notifies prior to vendor departure to confirm additional instructions

Performs other duties as assigned REQUIRED SKILLS:

+ High school diploma or equivalent

+ 1+ years of prior switchboard experience

+ Excellent customer service skills

+ Good organizational skills and ability to prioritize

+ Working knowledge of Microsoft

+ Knowledge of general office procedures, technology, and equipment

+ Advanced ability to communicate effectively (oral and written) at all levels; Ability to work effectively and accurately with little direct supervision

+ A strong team player willing to pitch in at any level when the need arises; Ability to interact with all levels of staff and management

+ Some physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting or carrying objects that may weigh up to 50 lbs. (e.g., papers, books, files and small parts, etc.)

+ Moderate dexterity – regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination)

+ Travel between local offices

SALARY AND BENEFITS: The pay range for this position is 36,000-54,000. This position is classified as regular. Regular staff are eligible for NORC’s comprehensive benefits program. Benefits include, but are not limited to:
