Job Summary:
The Program Coordinator will provide the Department of Psychology and Cognitive Science Program with day-to-day core administrative functions including but not limited to; coordination of quarterly and yearly course scheduling, managing logistics of special events and faculty recruitment; coordination of promotion and tenure process; coordination of short-term teaching appointments, courtesy appointments and visiting scholar appointments; initiates myHR appointment paperwork; update department website; process J-1 and H1-B visas and assistance with annual space survey. The program coordinator position in the Department of Psychology is a 100% full-time position at 37.5 per week and works onsite three/four days per week and two/one day(s) remotely during the academic quarters, with the opportunity for more remote work during the summer and breaks between quarters.
Please note: Expected to work early or stay late for special events or deadlines as necessary. Back up to front office for continuity of flexible work hour
Specific Responsibilities:
Administration
Coordinates day to day administrative operations for the department.
Ensures that program mission, values, guidelines, policies & procedures are implemented & maintained.
Manages design and development of program databases; compiles & analyzes data; prepares reports.
Reviews processes and recommends changes to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
Identifies service improvement opportunities that will bet
Budgets & Financial
Processes visitor and faculty expense reports and direct payment requests related to colloquia. 4. Reviews; ensures approval based on alternatives regarding practice & policy; analyzes and classifies transactions in accordance with established chart or coding of accounts; creates new accounts; prepares, processes, reconciles & provides receipts (as appropriate) for transactions.
Troubleshoots problems; performs vendor/account research as needed; obtains additional information or provides instruction & guidance by phone, US- or e- mail from customers/vendors; corrects or escalates.
Communication, Outreach & Recruitment
Maintains state-of-the-art website.
Incorporates social media and networking into program/project aspects as appropriate.
Strengthens partnerships with external resources by defining, promoting and marketing benefits of participation and involvement to the organization.
Evaluation
Coordinates the collection, analysis & reporting of required information for surveys, review documents, public information documents, etc.
Analyzes evaluation data from instructors, students, participants, etc. to assist in program/project development and updates.
Implements corrective actions required as a result of surveys or other indicators.
Events
Coordinates programming, educational, student, alumni, workshops, meetings, etc. including speakers, agendas, etc.
Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.
Faculty Support
Coordinates faculty recruitment, appointment & credentialing processes including placing ads, candidate communication & visit.
Coordinates preparation of Promotion & Tenure cases.
Initiates myHR appointment paperwork.
Arranges colloquium & seminar coordination, & faculty travel planning.
Coordinates quarterly and yearly course scheduling, course descriptions, and annual space survey, under direction of Assistant Chair.
Coordinates J-1 and H1-B process for visiting scholars.
Coordinates short-term teaching appointments, courtesy appointments, reappointments, and overload appointments.
Coordinates appointment of Postdoctoral Trainees and Visiting Scholars.
Supports Assistant Chair with GA assignments by distributing surveys, reserving rooms and notifying faculty and graduate students of their GA assignments.
Human Resources
Ensures human resources programs, policies, & procedures are implemented & consistently applied.
Coordinates all or portions of the talent management lifecycle (sourcing, selecting, developing, coaching, rewarding, recognizing, managing information & optimizing talent.)
In consultation with management & Central HR, administers HR solutions. 4. Maintains excellent working relationship with Office of Human Resources.
