The Business Operations Analyst – Programs (BOA-P) serves a key support role in the operations and administration of Cayuse Health, LLC, with the responsibility of managing multiple portfolios. The BOA-P coordinates administrative aspects of project support, performs routine quality checks, manages credentials, monitors status of certifications, licensure, and subscriptions, and maintains adherence to JCHAO guidelines regarding healthcare staffing.

Responsibilities

The BOA-P is responsible for ensuring support for programs is performed on time, with attention to detail, and delivers the highest quality to the team and the clients. The Business Operations Analyst – Programs position performs all duties and responsibilities in accordance with the Mission, Vision, and Core Values of Cayuse.

+ Responsible for monitoring time and attendance, reports discrepancies to anticipated employee schedules, and works to resolve issues at the lowest level.

+ Administrative duties: draft and edit job descriptions, requisitions, and personnel action changes.

+ Contract support: provide support to contract employees in the areas of time and attendance, including assistance and problem resolution.

+ Works with shared services and serves as a liaison for intercompany needs.

+ Manages federal travel: itineraries, lodging, and transportation reservations.

+ Serves as key point of contact for expense reports, identifying documentation requirements, and conducting quality control review of data prior to submission.

+ Contributes to company budget and forecasting by evaluating anticipated expenses related to travel, subscriptions, training, and credentialing.

+ Manages credentialing documentation, maintaining appropriate security of PII. Comply with JCHAO and HIPAA compliance guidelines.

+ Prepared to present and discuss the status of credentials, licensure, and subscriptions, upon request.

+ Monitors licenses, certifications, and subscriptions for expiration, renewal requirements, and reports anticipated expenses.

+ Ensures requirements are met for timely renewal of licenses, certifications, and subscriptions with no lapse in coverage.

+ Responsible for identifying subscriptions and services that directly benefit and augment the company’s services and operations. Responsible for maintaining certification status of staff as well as organizational licensures and certifications.

+ Responsible for budget of expenses related to licensure, certifications, and subscriptions.

+ Supports social media presence, identifying discrepancies, maintaining ADA standards where applicable, and coordinating with the communications and marketing team to make updates when necessary.

+ Participates in proposal process providing QC checks for errors and suggests edits if needed.

+ Participates in pipeline process through research and reporting of factors affecting operational lift to profit ratios.

+ Draws on research and professional experience to identify opportunities, mitigate risk, and maximize potential for growth.

+ Conducts research and utilizes professional experience and judgement to contribute to the operational posture of the company.

+ Responsible for designing the operating practices for licensure and credential verifications, and building the credentialing process, ensuring all requirements for JCHAO Healthcare Staffing Certification are met. They will be responsible for the application of certification, providing documentation and corresponding with JCHAO representatives, and continuous support and maintenance of the credentialing system at Cayuse Health.

+ The position will require the coordination of travel and the use of a Cayuse credit card for booking travel, lodging, etc. This has the potential to be of significant financial impact and will require attention to detail and diligence to ensure all expense requests are submitted and payments are applied appropriately to avoid any default or penalty on behalf of Cayuse Health.

+ Responsible for monitoring GovWin and Sam.gov for potential opportunities, assessing if the ops would be beneficial to the Cayuse Health business strategy, and making recommendations utilizing their professional experience in health and medical settings. Additionally, the BOA-P will be responsible for identifying credentialing tools, maintaining certifications of employees, as well as ensuring the certifications, licensures, and subscriptions for Cayuse Health do not lapse at any time. This will require the authority to request or make payment on behalf of Cayuse Health as necessary for new certifications, licensures, and subscriptions as well as renewal fees.

+ Will draw on their professional experience in health and medical environments to provide consultation and expert advice regarding licensure, EMR’s, medical billing/ coding, and insurance processes. Additionally, they will be responsible for monitoring any physician licensure with specific insurance companies, making inquiries and changes on behalf of Cayuse Health.

+ Resolve matters of significance on behalf of management such as ensuring expense reporting accuracy, documentation, and expenses are valid for the period of travel and in accordance with Federal travel regulations. They will provide corrective action consultation to employees regarding any irregularities.

+ Receive, respond, and resolve complaints made by employees, escalating issues to HR if necessary. These may include issues such as payroll discrepancies, benefits inquiries, and employee morale.

+ Responsible for reviewing, and updating social media for Cayuse Health, and will coordinate with Sharise’s team to make changes. ADA compliance will be applied to the text font type, size, and colors.

+ Contributes to overall company growth and development.

+ Other federal program support activities as required.

+ Other duties as assigned.

Qualifications

Minimum Qualifications:

+ Bachelor’s Degree: Humanities or Life Sciences, preferred

+ Experience and familiarity with health and medical standards of care including JCHAO, HIPAA, and PII document management.

+ Experience working with an Electronic Medical Record (EMR) platform.

+ Experience planning, managing / assisting, and executing medical or health related staffing.

+ Experience planning, managing / assisting, and executing the management of clinical environments.

+ Direct experience coordinating with employees regarding concerns and issues, including participating in steps to resolution, and escalating for action as appropriate.

+ Experience in independently interacting with multiple stakeholders, both internal and external, ensuring client satisfaction while maintaining company goals and objectives.

+ Experience with logistics, health-related information technology, medical insurance billing and coding process, medical licensure and credentialing, and HIPAA.

+ Must be able to pass a background check. May require additional background checks as required by projects and/ or clients at any time during employment.
