Savvas Learning is seeking a person for a 3-month position (August - October 2024) to assist project managers in the bids and contracts department working on state educational materials adoptions which are significant, high-profile, complex government procurements important to Savvas Learning's K - 12 educational publishing business.

The candidate's key responsibility is to provide administrative and other support services for the project managers in the department on an as-needed basis. This could include assisting project managers with reviewing bid submission requirements, communicating those requirements to stakeholders, and then managing the on-time submission of all bid deliverables and product samples for assigned state adoptions, including, pricing, product information, and other related documents. The candidate will report to the Adoptions Contracts department manager and is expected to work directly with department project managers under their supervision.
Primary Responsibilities
Assist department project managers with all aspects of the state adoption process from analyzing and communicating bid requirements to stakeholders, preparing and submitting various documents throughout the process, through final bid submissions, and execution of state government adoption contracts.
Specific tasks could include data entry of bid information into customer online submission portals and company business systems; reviewing bid data for compliance with customer requirements; monitoring the department's inbox and dissemination of information received; preparation of bid forms and drafting customer correspondence; monitoring, gathering, and disseminating bid information from state and local educational departments; preparing packaging and documentation for sample product deliveries; and requesting performance bonds from the company's insurance carrier.
The ideal candidate will have a strong, independent work ethic, and a positive 'can-do' attitude; always maintains professionalism, is flexible, responsive, decisive, detail and deadline-oriented; is highly motivated and can re-prioritize work quickly with supervision. Project and/or contract management experience is preferred. Experience working in a corporate department responsible for the management of proposals for large, complex government contracts, or experience working on state educational materials adoption submissions, is desired.
Requirements
Minimum two (2) years experience working in a fast-paced, deadline-driven corporate bids and proposals or contracts department is required.
Prior experience with submissions for large, complex government contracts, or experience with state government adoptions, is preferred.
Exceptional verbal, written and professional communication skills, as well as excellent organizational and time management skills.
Ability to work additional time on short notice.
Proficient in MS Word & Excel, Google (Mail, Docs and Sheets) and Adobe Acrobat
Knowledge, Skills, and Abilities

Ability to identify, prioritize, and manage multiple tasks necessary to satisfy assigned tasks.
