Job Description
The Role
The executive assistant will provide exceptional administrative support to two members of our executive leadership team (2:1 model). You will perform more than administrative tasks and become each executive's "right-hand person." You are a natural decision-maker, with an ability to think under pressure and display good judgement. You must be a proactive self-starter that is always one-step ahead of the executives. You will play a vital role to the organization as you assist leaders with their day-to-day needs, so they can concentrate on client and management responsibilities. You must work well in a team environment, but also work autonomously when necessary.
This position is based in our Chicago office. We are operating in a hybrid work environment however, this role may require you to be in office for more than 3 days depending on the needs of the business.
Responsibilities
Establish and maintain order for leaders' schedule, desk, day-to-day tasks, etc.
Manage schedules, make appointments, and coordinate meetings, often across multiple time zones
Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
Anticipate the needs of leaders while maintaining day-to-day workflow
Gain and establish expertise of financial expense reporting system (Concur)
Coordinate domestic and international business travel
Assist with special projects as needed
Increase efficiency though continuous process improvement
Requirements
Minimum of 7 years of experience as an executive assistant for a global company; C-level experience required
Excellent communication, organization, and time management skills
Ability to professionally handle sensitive and confidential information
Strong attention to detail
Ability to think independently and act with appropriate judgment
Knowledge of Windows-based applications
Proven ability to multitask as you will service multiple executives
Must work well in a team environment
