JOB SUMMARY DESCRIPTION / PRIMARY PURPOSE OF JOB
The Administrative Assistant is a non-technical role supporting technical departments with a wide range of administrative and support-related tasks. Provide administrative support to hundreds of diverse people and multiple programs. Interact with staff at all levels in a fast-paced, technical environment while maintaining an elevated level of professionalism and confidentiality even under pressure is expected in this role. Must be well organized, patient, resourceful, proactive, flexible, and able to execute work under moderate to little supervision.

JOB RESPONSIBILITIES/RESULTS
Support building administrative needs.
Assist with purchase orders.
Maintain office supply inventory and order additional supplies when necessary.
Assist with incoming mail notification, distribution, and shipping assistance.
Assist with all departmental lunch meeting requests.
Coordinate documents such as: rosters / org charts / seating chart / outlook distributions.
Assist with department outings.
Assist outside departments as needed.
Coordinate equipment and other IT needs
Coordinate building needs with Facilities team
Provide administrative support to departmental leadership, management, and staff.
Assist leaders with meeting scheduling and light calendar management.
Schedule and set up departmental meetings.
Assist with travel coordination and planning.
Assist with expense reports and P-card reconciliation.
Support onboarding of new hires and offboarding of employees.
Coordinate Special Projects for leadership.
Assist with tours, events and additional departmental projects as needed.

JOB REQUIREMENTS
Education
High school degree or equivalent required
4-year college degree preferred.
Some specialized administrative coursework is desirable.
Experience
Minimum 1 year in administrative or office support experience desired.
Knowledge / Technical Requirements (List programs, technologies, knowledge required to perform essential job responsibilities)
Proficient in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and ability to learn Oracle, Coupa, Concur and display confident computer skills.
Competencies, Skills & Abilities
Ability to communicate clearly and in a timely manner.
Ability to problem solve.
Ability to organize and execute a plan and strategy.
Excellent oral and written communication abilities
Ability to function as a self-starter and without direct supervision.
A professional can-do attitude with respect for confidentiality is required.
Attention to details is equally important.
