Event Services Manager (1) (32 hours/week) Begins July 25 th , 2024

The purpose of this role is to provide event services supporting the 2023 MSB GM Conference and other meetings and events as assigned. This individual is responsible for planning and executing the event according to predetermined timelines and budgets primarily in the areas of but not limited to, Project Management, Room Block, Shipping, Resource scheduling, Attendee networking packs and workshop coordination.

CORE WORK ACTIVITIES

+ Assists with the design and execution of the MSB GM Conference.

+ Works with Passkey and the individual hotels to manage room block of host hotel and all overflow hotels monitoring and reporting on attrition risks, room availability, etc.

+ Coordinates all shipping needs between vendors, facilitators, and hotel/convention center.

+ Coordination and tracking of Sponsors and Marriott Subject Matter experts as it relates to invoicing, communication, shipping, and AV needs as well as onsite execution for trade shows, genius bars, etc.

+ Workshop coordinator for AV, supplies, shipping, etc.

+ Establishes the criteria for networking packs in collaboration with brand leaders. Develops process for communication and networking and facilitates on site execution of such.

+ Onsite execution of all required components.

+ Partner and interface with external vendors/presenters for events where applicable.

+ Uses Microsoft Office and other relevant tools to present relevant event information.

Additional Responsibilities

+ Research event trends and experiences ensuring Events continue to be innovative and memorable events.

+ Be accountable for event results along with event and brand leaders.

+ Clearly communicate expectations to hotel, team member and stakeholders

+ Resolve any event issues and solve problems throughout the event experience and escalate when required.

+ Track and report on event milestones, risks and budget issues providing status reports to stakeholders.

+ Support for additional events where needed.

+ Informs, updates, and provides information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person in a timely manner

+ Attends and participates in all relevant meetings

+ Presents ideas, expectations and information in a concise, organized manner

+ Uses problem solving methodology for decision making and follow up

+ Maintains positive working relations with internal customers and department managers

+ Manages time effectively and conducts activities in an organized manner

+ Performs other reasonable duties as assigned by the Event Leader

+ Special projects as assigned, including ad hoc requests for information and analysis related to other meetings and events.

CANDIDATE PROFILE

Education and Experience

+ Associate’s Degree; 4 years’ experience in the business, sales and marketing, management operations, events or related professional area.

OR

+ Bachelor’s Degree, preferably in a hospitality discipline or management; 2 years’ experience in the business, sales and marketing, management operations, events or related professional area.

+ Event Management/Planning experience preferred

+ Microsoft Office knowledge required

+ Smartsheet experience preferred

+ Demonstrated leadership leading projects and initiatives

+ Experience working in a team-oriented, collaborative environment

+ Strategic, operational, technical and management skills

+ Rapidly adapt and respond to changes in environment and priorities
