College Board - Assessment Delivery Operations

This is a 2 year Term position

About the Team

The Assessment Delivery Operations team is responsible for ensuring College Board assessments happen reliably for millions of students every year. The 60-person team includes Content Management and Publications, Test Administration & Delivery, Supply Chain Management and Logistics. This team is at the forefront of bringing the Digital SAT suite to fruition for millions of students across the globe. The team also manages CLEP and ACCUPLACER.

About the Opportunity

You will work closely with the AP program to support the transition of AP's Paper Supply Chain to a new model - supporting activities that were previously performed by contractors. Responsibilities include order fulfillment process mapping, creation of new fulfillment processes, monitoring fulfillment operations and troubleshooting ordering and fulfillment issues.

In this role, you will:

Develop and execute processes to manage AP special orders that come through the Special Order Management (SOM) tool (25% of your time)

  • Map process flows to clearly identify responsibilities for each of the SOM queues

  • Work across internal and external stakeholders to determine optimal process flows

  • Using a RACI (or similar) methodology, develop, socialize and confirm roles and responsibilities by stakeholder

  • Monitor queues and provide order approvals throughout the build up to and execution of the season

  • Troubleshoot unexpected requests or situations that prevent normal flow of orders through the queues

Develop, document and execute fulfillment processes and requirements (35% of your time)

  • Work with internal and external stakeholders to map out existing and future fulfillment processes

  • Use process mapping tools such as flow charts and RACI diagrams to communicate process flows, stakeholder roles and responsibilities

  • Facilitate meetings that drive to consensus on optimal future state for changing processes

  • Document outcomes and follow up through execution required to stand up new processes

Provide fulfillment vendor oversight (20% of your time)

  • Monitor seasonal preparation and in-season performance at selected vendors

  • Establish and monitor appropriate reporting that ensures ability to identify performance issues, as well as sharing fulfillment status across a wide range of internal stakeholders

  • Leverage Subject Matter Expertise to support vendor in resolving issues across the entire paper supply chain

Collaborate Across Teams: (20% of your time)

  • Work very closely with the AP Program and functional teams to understand requirements

  • Work with vendor's Subject Matter Experts to ensure full understanding of underlying capabilities and existing processes

  • Work with vendors to ensure flawless execution of a well-planned season

About You

You have:

  • BA/BS Degree or an equivalent combination of education and experiences

  • Minimum 3-5 years professional experience in operations planning or similarly analytically rigorous role

  • Strong operations data analysis and reporting experience required

  • Expertise with Microsoft Office, including Excel and Access

  • Analytical thinking and structured problem-solving ability

  • Strong organization and prioritization skills

  • Strong written and oral communication skills

  • You are authorized to work in the US

Ideally, you would also have:

  • Experience with Warehouse operations - both inbound and outbound

  • Experience with the operational analytics related to fulfillment and logistics

  • Experience managing fulfillment vendors

  • Experience in a high-volume data and transaction intensive processing operation

  • Knowledge of agile tools and concepts, and experience working in an agile environment

  • Experience with JIRA and Smartsheets

  • Authorised to work for any employer in the US.
