Job Information


Job Summary:

The Project Assistant IV essentially ensures the smooth running of the High School office on a day-to-day basis and will work closely with the High School administration and reports directly to the Principal of University High School. Performs administrative, communications, and other program support tasks as assigned by the Principal. Serves as a point of contact for the office communicating with parents and guardians, teachers, staff, and students on a daily basis. Provides administrative support including, but not limited to, answering phone calls, emailing, and managing divisional documents.

The successful candidate develops and maintains an understanding of the organization and culture of the Laboratory Schools and the High School School program. The Project Assistant IV will work collaboratively across the divisions with other N-12 offices. The daily responsibilities typically include: administrative support, scheduling, event coordination, organizing meetings,managing databases, and student information systems.

The Project Assistant IV will prepare and meet deadlines for budgetary and payment needs across the High School division. They will assist with ordering and processing of a large division that services 600 students and 100+ faculty and staff. The Project Assistant IV collaborates with faculty and administrators to process and file reimbursements, invoices and billing along with other university paperwork while maintaining files for proper documentation of the High School program activities.

Responsibilities:
  • 20% - Manages all clerical responsibilities for the high school office and in support of the high school principal. Scheduling and meeting preparation. Assists with divisional purchases and management of allocated budget. Orders and processes support for the high school faculty and division. Familiar with and supports others on University and Laboratory School guidelines.
  • 20% - Manages High School divisional communication in partnership with the communications office and high school administration. In partnership with the Human Resources department, the Project Assistant 4 trains, schedules, and assists with management of substitutes. Works with faculty to process substitute feedback and evaluation of their performance in classrooms.
  • 15% - Manages student and faculty information. Maintains and tracks faculty absences and annual performance evaluation forms through data management. Assists with student matriculation and management of student files including grades, reviewing student progress, reports, contact information, and all historical files pertaining to student information.
  • 15% - Arranges meetings, prepares agendas, and creates reports for the High School administrations. Supports the coordination of logistics for high school events such as parent-teacher conferences, orientations, open houses, other divisional events and celebrations as needed. Assists in the planning and reservation of spaces and equipment using the Tandem software system.
  • 10% - Provides clear and concise guidance to the secretarial support. With supervision from the High School Admin Team, the Project Assistant IV leads and implements programs as delegated by the High School Principal, attends High School planning meetings as needed and is a key source of information for the entire division.
  • 5% - May initiate correspondence and other written materials under own signature or for the signature of the leader. Triages emails and telephone calls for action. Resolves a combination of some routine and complex inquiries.
  • 5% - Prepares special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies. Maintains the leader'scalendar.
  • 5% - Coordinates special projects as directed by the leader. Prepares written reports andrecommendations for operational and administrative issues. Manages a portion of the office budget, monitoring and reconciling accounts. Prepares financial and/or administrative reports.
  • 5% - Performs other related work as needed.

Additional Requirements


Education, Experience, or Certifications:

Education:
  • High school diploma or GED required.
  • College degree preferred.

Experience:
  • Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline, preferably in an academic setting.

Technical Knowledge or Skills:
  • Proficiency in Google Suite, cloud computing, and standard productivity software.
  • Knowledge of database systems required, preferably with student information systems.

Working Conditions and Physical Requirements:
  • Standard office environment.

Pay Range:
  • $22.52 - $32.97 per hour.
