Email a Friend Save Save Apply Now Position Summary: The Lab Administrative Assistant demonstrates competency in medical terminology, HB/PB registration, insurance, and billing protocols, ICD and CPT coding, pathology and radiology transcription, and computer information systems. Functions as a resource for internal and external customers, therefore, must have the ability to use independent knowledge to analyze and resolve complex issues, accurately and completely document and follow-up, and project a professional company image through in-person and phone interaction. Qualifications: EDUCATIONAL REQUIREMENTS High School Diploma/Equivalent CERTIFICATION & LICENSURE REQUIREMENTS Rev Cycle Basics Class & Medical Terminology class must be completed within twelve (12) months of start date in position. EXPERIENCE REQUIREMENTS Two (2) years Related Field SKILLS AND KNOWLEDGE Medical Terminology and ICD Coding knowledge. Vast comprehension of the Laboratory processes and Lab Information Systems as well as all enterprise systems used in relation to the job. Basic/Intermediate Level experience in Microsoft Outlook, Word, Excel, PowerPoint. Essential Functions:

+ Billing: Responsible for preparing charge documents to be keyed or electronically transferred into the billing systems which also include assisting in ICD and/or CPT coding on Lab/AP charges for payment; Works appropriate billing reports/work queues to ensure that information is correct for claim filing; Communicates coding and billing issues to management to maintain departmental compliance.

+ Result Reporting: Performs all tasks necessary to register patients and enter/transcribe orders into the computer systems; Ensures results are called or disseminated according to protocols; Scanning documents to the EMR; Transcribes and edits Radiologists and Pathologists dictation; Package and track all send-out requests for pathology.

+ Customer Service: Acts as a resource for staff. Ability to review, research, and resolve semi-complex issues where decisions are not always apparent, including but not limited to: specimen collection, turn-around-time, erroneous results, MRN issues, billing corrections; Takes action to resolve customer service complaints partnering with other departments when necessary. Follows-up to ensure the appropriate changes were made to resolve customer problem. Refer unresolved issues to Coordinator or Manager; Performs customer service recovery as needed and assures high quality customer service from all areas of responsibility.

+ Administrative tasks: Dispatch pathologist as applicable; Assumes responsibility for documentation, answering and follow-up on all inquiries generated by telephone, walk-in, or written correspondence; Performs administrative tasks including but not limited to greeting visitors and callers, handle their inquiries and/or directing them to the appropriate person according to their needs, assumes responsibility for documentation, assembling mailings, distributing faxes, scanning, and filing; Operate office equipment such as fax machines, copiers, scanners, phone systems, videoconferencing equipment and learn to operate new office technologies as they are developed and implemented; Basic/Intermediate Level experience in Microsoft Outlook, Word, Excel, PowerPoint.

+ Physician Administrative Responsibilities: Support laboratory medical director; Managing and coordinating schedule, prioritizing email; Physician report cards; Epic administrative in-baskets; Pathologist schedules; Final path report ’ ICD coding, validating CPT codes to maximize billing; Training of new physicians, locums, supervisors, managers, PA’s Dragon, billing, lab orientation, Softpath

+ Miscellaneous: Ensures that daily work assignments are complete by promoting team work and good communication; Assists with audits and reviews as requested; Attend meetings and provide input; Participates in annual policy and procedure review process.
