Administrative Program Coordinator

Location: Matteson, Illinois Position Summary Under the general supervision of the Program Director, this position works to make a meaningful difference in the lives of the families served by ensuring ensure quality service delivery and compliance to the program’s contractual guidelines. The Administrative Program Coordinator performs administrative tasks in support of a department, unit, or program area, and may include supervision of support staff. By assignment, duties of an Administrative Program Coordinator may also include office management, purchasing coordination, and/or contract purchasing and payment. Hours: Monday – Friday, 9a-5p Responsibilities The Administrative Program Coordinator will perform duties including, but not limited to:

+ Perform all work in a manner consistent with the National Youth Advocate Program’s mission, values, and philosophies.

+ Actively support, represent, and extend the mission of the organization through direct services, customer contact, and all other assigned functions.

+ Developing, reviewing, and improving administrative systems, policies, and procedures.

+ Arrange annual conferences, regional conferences, training sessions and workshops, and all other public relation events as requested.

+ Enter all program information into computer, maintain databases, and update all changes, additions, deletions, etc.

+ Provide quarterly and annual reports on all children served by the agency.

+ Provide training and supervision to area office specialists and other administrative staff as required.

+ Provide appropriate documentation for the payment of all expenses incurred by the agency and maintain an ongoing log of agency bills and expenditures if required.

+ Attend meetings and record and distribute meeting minutes as assigned by the Director.

+ Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.

+ Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.

+ Overseeing special projects and tracking progress towards company goals.

+ Support appropriate placement and/or services as needed.

+ Provide administration coordination for program contracts including processes and procedures to ensure service quality and operational efficiency.

+ Complete all required documents in a timely manner as per agency protocol.

+ Develop and regularly review client files for and natural support per established program procedure/protocol.

+ Provides safety assessment, crisis response, and behavioral stabilization services as required to assure safety and stability for youth served.

+ Completes all required training in a timely manner.

+ Engage in supervisions, consultations, and applicable educational opportunities.

+ Participates in the Continuous Quality Improvement activities on a monthly/quarterly basis.

+ 25% Travel required as needed.

+ Performs other duties as requested.

Minimum Qualifications

+ Bachelor’s Degree in Social Work, criminal justice, or comparable Human Services field from an accredited institution.

+ Basic bookkeeping skills and experience.

+ 2 years of work experience working in direct service with youth.

+ Experienced in group creation and implementation.

+ Must have a valid driver’s license, reliable transportation, valid automotive insurance, and a good driving record.

+ Previous experience and proficiency in the use of various office machines, including computers and software such as Microsoft Office, including Excel and Word.

+ Proficient use of desktop and laptop computers, smart phones and tablets, printers, fax machines and photocopiers as well as software including word processing, spreadsheet and database programs.

Driving and Vehicle Requirements

+ Valid driver’s license

+ Reliable personal transportation

+ Good driving record

+ Minimum automobile insurance coverage of $100,00/$300,000 bodily injury liability
