PROJECT COORDINATOR

Salary $71,004

This position is open to the public and all current City employees covered under the City’s collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Under general supervision, the class coordinates the administration, development, and implementation of a specific project or program moderate in size and scope for a City department; and performs related duties as required.

ESSENTIAL DUTIES

· Oversees performance of tasks, procedures, and other duties in support of the City of Chicago Online Auction Program.

· ?Provide reports/updates to the Deputy Procurement Officer related to productivity, employee performance, operational issues, etc.

· ?Provides direct feedback and input related to improving existing policies and procedures; identifies duplicative efforts to improve efficiency.

· ?Organize meetings with project teams to discuss statuses and communicate directives.

· ?Acts as liaison between internal department units (Contract Admin., IT) to ensure efficient operations, communicate needs, and address issues.

· ?Preparing necessary presentation materials for meetings.

· ?Tracking project spending for adherence to budget.

· ?Participates in the development of project strategies, solutions, and enhancements.

· ?Oversees training and development of current and new staff as related to departmental vehicle administration

· ?Oversees storage, archiving, and retrieval of both paper and digital documents, both onsite and offsite.

· ?Participates in the preparation of materials and data for annual budget submission.?

· Develop and implement operating policies and procedures to ensure the effectiveness of program operations

· Plans work schedules and priorities for project activities; participates in preparing project or program operating budgets and monitors budget expenditures

· Designs, implements, and monitors procedures utilized in program evaluation

· Acts as a liaison with City departments, public and private agencies, and business organizations to secure commitments in providing services to program participants, sharing program information, and obtaining additional funding support

· Monitors and directs consultants in administering program activities; prepares narrative and statistical program status reports.

· Functions as secretary on the Non-competitive Procurement Board.

Hours: 8:30 a.m. to 4:30 p.m.

Qualifications:

MINIMUM QUALIFICATIONS

Graduation from an accredited college or university with a Bachelor’s degree in Public or Business Administration, Social Sciences, Planning, or a related field, supplemented by three years of progressively responsible experience in program administration, or an equivalent combination of training and experience is required.

SELECTION REQUIREMENTS

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

Preference will be given to candidates possessing the following:

· Computer expertise in Microsoft Suite (PowerPoint & Excel)

· Experience with dashboard/project management software

· Prior experience with procurement administration
