Job Summary:
A center for global excellence in undergraduate and graduate education and research,Northwestern's Department of Chemistry seeks a self-directed senior administrative professional to support tenured faculty and their research group. The Business Administrator ensures the effective, compliant, & efficient daily management of all operational, financial, & business functions in support of the business area's mission & in coordination with central offices such as HR, Budget, Facilities, Sponsored Research, IT, & Provost. Represents business area on internal & external administrative matters by recommending alternatives and suggestions.
This is a full-time (37.5 HR) hybrid position that works three days on site, and two days remote.
The target hiring range for this position will be between $ 70,017 - $98,462 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
Specific Responsibilities:
Lab Coordination: Manages day-to-day operations of research groups. Coordinates searches for research positions, communicates visa requirements, and onboards new hires and students. Facilitates appointments, promotions, and departures of lab members. Schedules qualifying exams and thesis defenses. Provides support to all group members, answering inquiries, and recommending campus resources. Identifies service improvement opportunities to better support group's success. Update group website.
Monitors research lab compliance & responds to space surveys and Risk Management reports. Ensures communication with Principal Investigator (PI) regarding LUMEN participation.
Research Administration: Performs pre- and post-award research administration, utilizing established systems to ensure compliance with all applicable regulations. Proactively updates and maintains documents required for the submission of research proposals from various information sources to obtain relevant data. Reviews grant solicitations to ensure all needed documents are prepared in accordance with requirements.
Events: Coordinates programming, including conferences, meetings, and colloquia. Manages all event logistics including creating and disseminating schedules and itineraries; arranging catering; preparing materials; making travel arrangements; serving as a resource to invited visitors; reserving venues; and staffing events.
Administration: Manage calendars and travel; submit and track expense reports. Assemble reports and other documents to support faculty member's activities.
Financial: Ensure that the groups' accounts are actively monitored. Track group's various funding sources, end dates and ensure transactions are charged correctly.Transfer knowledge & advise on research policies & procedures, grant closeouts, no cost extensions, and renewals.Track spending, funding of lab positions, supply orders, ensuring spending is charged to appropriate sources. Report needed changes and follow through to ensure transactions are completed. Oversees payroll for research appointments.

Performs other duties as assigned.
Minimum Qualifications:
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; OR appropriate combination of education and experience.
5 years' administrative experience including budgets, finance, grants, facilities, &/or human resources; or other relevant experience.
