About the Department

The newly created Institute for Population and Precision Health (IPPH), located in the Biological Sciences Division, will integrate a wide spectrum of factors such as human health behaviors, environmental factors, social and economic factors, policies and genetic determinants of health, into studies focused on the treatment and prevention of disease, as well as the maintenance of wellness. Leveraging and integrating the University of Chicago's considerable institutional strength in population science with research spanning diverse fields such as genetic medicine, cancer epidemiology, microbiome, and epigenomics, the Institute will have the common goal of improving human health outcomes. Another major goal of the Institute will be to develop a new multidisciplinary training program to equip researchers with emerging tools and methods to conduct precision health research within a population health framework. Our faculty lead research projects in biostatistics, epidemiology and health services research and participate in interdisciplinary teams with faculty in other departments to address complex problems in health and healthcare, in our communities and around the globe.

Job Summary

This leadership position oversees the strategy, new initiatives and partnerships, development, and administrative, management, and financial operations of the Institute for Population and Precision Health (IPPH). With the Director of the Institute for Population and Precision Health and Faculty Director, the Executive Administrator will drive the organization's growth and development to respond to demand from research collaborators and partners across the Division and University, as well as from federal and international entities, to envision new methods for data and research interoperability.

The successful Executive Administrator will be an excellent research administrator, business relationship maker, and strategic thinker who is keen to improve and expand on current initiatives, administrative capabilities, and systems. The Executive Administrator will serve as a collaborative member of the IPPH leadership team, and partners with a variety of University staff, leaders, faculty, and students.

Responsibilities
  • Serves as the divisional/institutional representative and operational lead of the IPPH. Provides overall coordination and support for the Institute for Population and Precision Health (and its centers and units) by managing its long-term strategy, developing and managing educational programs and initiatives, and overseeing the operational infrastructure (financial management and reporting, research administration, operations).
  • Works closely with relevant University of Chicago Medicine units including Marketing and Communications, website teams, Medical and Biological Sciences development, and government and public relations to ensure appropriate integration and alignment of priorities and activities.
  • Provides leadership for and oversees all financial, purchasing, grant, facilities, human resources, and support services management activities for the unit.
  • Manage all departmental administrative staff for finance, operations, grants/contracts (including training grants), IT, and research. This includes hiring, training, evaluation, disciplinary action, termination, development, retention, and salary decisions related to staff.
  • Cultivates a collaborative, inclusive environment that promotes and fosters diversity, teamwork, innovation, and problem-solving.
  • Develop collaborative strategies to identify effective growth, partnerships, and expansion opportunities.
  • Oversees resources to track planning, prioritization, and implementation of portfolio and strategic initiatives.
  • Oversees the development of brand identity, communications strategy, presentations, and special events.
  • With the faculty director, represents the IPPH, structuring frameworks for new partnership development.
  • Develop collaborative relationships with non-University partners and University faculty, students, and staff concerning all IPPH activities.
  • Provides program assessment and reporting, both to internal bodies and donors.
  • Monitors the progress of all programs and researches the latest developments related to the program topic.
  • Serves as principal coordinator, setting a timetable for program events and activities and working with the administrative staff to develop plans to ensure the success of the program.
  • Fosters collaboration with campus and community groups and develops proposals, budgets, and plans for such projects.
  • Works with the development office to identify and pursue new funding opportunities that will allow for program expansion and sustain the work of the Institute.
  • Creates and develops programming and manages all external relations for the Institute.
  • Develops learning opportunities for students.
  • Researches and identifies funding opportunities and becomes knowledgeable of extramural funding information and industry partnerships to serve as a resource for research faculty.
  • Aligns resources and identifies, oversees, and develops funding strategies for the successful attainment of external grant proposals and contract applications from a range of sponsors in support of research, education.
  • Facilitates the transition of successful grant applications into active program development, operations or implementation.
  • Provides leadership for a Center with senior management and serves as a liaison to academic departments, professional organizations and administrative units of the University.
  • Manages related teams. Establishes department priorities, may be responsible for the management of the center budget, allocates resources and executes strategic plans.
  • Works closely with faculty, students and other leaders across campus to foster experimentation and multi-disciplinary inquiry and teaching by coordinating and developing Center programming. This may include workshops. Conferences, colloquia, training programs, community outreach, etc.
  • Oversees a communication strategy and marketing efforts aimed at increasing the visibility of the Center. Collaborates with others to make the center a valuable resource to all students and contributes to the broad goals of creating a stronger campus community.

Education:
  • Master's degree in business, Health Administration, or related field.

Experience:
  • Seven years of progressively responsible relevant professional experience in research operations, clinical research, and higher education including financial planning, management, analysis, and administration of complex research initiatives.
  • Expertise in successfully providing direction, setting priorities, identifying opportunities for improvement, implementing initiatives for change, managing people and projects, and setting priorities for budget resources.
  • Five years of supervisory experience.
  • Exposure to, and an understanding of, an academically rigorous research university environment.

Technical Skills or Knowledge:
  • Extensive project management skills.
  • Proficient in data analysis, Microsoft Excel, Word, PowerPoint, Outlook and other common software programs.
