TITLE:

Global Operations Specialist

REPORTING RELATIONSHIP:

Senior Director, Global Operations and Program Development

BASIC FUNCTIONS:

Provide project support to Global Operations and Program Development team in the development, implementation, dissemination, measurement, and evaluation of American Academy of Pediatrics (AAP) global health programs and membership engagement, including meeting planning, tracking work deliverables, providing technical assistance, drafting correspondence, maintaining social media content, and serving as a liaison with external partners.

DUTIES AND RESPONSIBILITIES:

1.Develop and manage a tracking system for new business/program development activities. Support the Global Operations and Program Development team in responding to new requests. Provide technical support in developing landscape analysis and briefing documents related to new program development, synthesizing data and learnings to contribute to recommendations around program direction and next steps.
2.Coordinate international attendees and global operations efforts at the AAP National Conference & Exhibition, in collaboration with relevant AAP staff.
3.Manage internal processes related to working with other pediatric societies and support of the AAP Executive Committee in their global outreach, including, developing preparation materials for Executive Committee members traveling to international conferences.
4.Coordinate and support the regular internal AAP global business/program development meetings, including drafting agendas, coordinating speakers, managing the virtual platform, and proactively addressing follow-up action items.
5.Track and update internal documents, presentations, and communications materials, including liaising with the Manager, Measurement, Evaluation and Dissemination and portfolio managers to ensure materials include current program evidence and scope.
6.Respond to key partner and member inquiries related to assigned global operations projects. Escalate matters to other staff as needed. Track, monitor, and follow-up on key partnership requests.
7.Track internal deadlines for and assist with preparing reports for AAP senior leadership, Board of Directors, and sections.
8.Support activities of AAP sections, including coordinating the development and dissemination of quarterly newsletters; attending executive committee meetings; and coordinating follow up on action items.
9.Support development of new grant and funding proposals, including writing content, coordinating the work of internal proposal writing team, and tracking external partner components.
10. Support development of content for AAP global health social media platforms in collaboration with relevant staff; write content; maintain the internal submission process; schedule posts; track analytics; and coordinate the team's participation in social media campaigns.
11.Support department-wide monitoring and evaluation efforts, including tracking requests, conducting desk research, entering and managing data, and creating simple data visualizations and reports.
12.Participate in and follow up on actions for AAP Global Leadership meetings and coordinate activities of assigned steering committees, subcommittees, and project advisory groups. Plan and facilitate meetings of these groups.
13.Work across Global Child Health and Life Support teams to support assigned project components and processes as assigned.
14.Perform all other tasks as assigned.

EDUCATION:

Bachelor's degree in public health, health administration, health policy, health education, or related discipline or an equivalent combination of relevant education and work experience required.

EXPERIENCE

At least two years' related advanced administrative and/or project coordination and implementation experience required, including coordinating/preparing meeting logistics and agenda materials; editing/drafting communications; updating websites; drafting reports and presentations; and collaborating with external partners. Experience working with global public health programs strongly preferred. Experience working on grant funded projects, including writing grant applications, and posting social media content desirable.

ESSENTIAL SKILLS:

Excellent organizational, time management, written/verbal communication, interpersonal, and diplomacy skills required.
