Job Description
- Manage day-to-day operations, including customer service, work productivity, administrative support, compliance with schedules and deadlines, accounting, etc.
- Design and implement office policies and procedures and oversee adherence and compliance.
- Organize office operations and procedures, maintain office systems, control correspondence, design filing systems, and assign and monitor clerical functions.
- Establish and monitor procedures for record-keeping.
- Ensure security, integrity, and confidentiality of data.
- Analyze and monitor internal processes.
- Work with other managers to ensure efficient communication among departments.
- Create office budget, review, and approve supply requisitions, and monitor office supplies.
- Receive and process initial orders.
- Manager records of new and ongoing projects to ensure compliance with contracts, deadlines, and customer expectations.
- Review and analyze projects and keep the management properly informed.
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
- Manage contract and price negotiations with vendors, service providers, and office lease.
- Plan and execute company events.
- Assist management with marketing by writing promotional materials and placing advertising.
- Manage Company’s help-wanted advertising by finding appropriate local and ethnic media sources, negotiating conditions, drafting ads in Ukrainian, Polish, and English languages, and placing the ads.
- Assist management with hiring process by screening resumes and conducting initial interviews.
- Meet with new hires to explain Company policies and procedures and assist with employment and tax reporting forms.
- Handle customer inquiries and complaints
- Manage employees’ records and internal staff relations.
- Maintain manuals on safety procedures and protocols and ensure that staff are fully educated on and follow the safety protocols.
