Job Summary

The Operation Experience Ambassador supports several different aspects of office operations while maintaining a welcoming and professional atmosphere for all clients, executives, and staff members. This role will include a variety of individual and team responsibilities throughout the office workspaces, conference rooms, kitchen/break areas, and reception.

RESPONSIBILITIES

  • Provide personalized and exceptional internal and external customer support with an emphasis on elevated hospitality per local workplace standards.
  • Interact with employees and visitors in a warm and welcoming manner, making yourself approachable for questions and requests.
  • Conduct daily walkthrough of office space and conference rooms to ensure all technology is put away and spaces are reset.
  • Restock, organize, and maintain supplies in the café, kitchen/break areas, copy/mail rooms, wellness rooms, and other areas.
  • Set up conference rooms according to provided instructions, including table configuration, externally catered meals, office supplies, and other equipment.
  • Process space reservation requests (assign and confirm space, catering & equipment) and ensure optimal workspace occupancy.
  • Learn and speak knowledgeably about the office, building, transportation, hotels, local restaurants, and other points of interest.
  • Respond to inquiries from guests and staff, anticipate their needs, and follow up to make sure satisfaction is achieved.
  • Communicate effectively with your team and other departments, displaying accuracy and attention to detail in both verbal and written communications.
  • Maintain a strong awareness of business activity and communicate all updates to your team members.
  • Coverage of reception desk for meals and breaks as needed.
  • Carry out instructions for security, emergencies, health and safety, and maintain records.
  • Other duties as assigned.

KEY COMPETENCIES

  • A genuine sense of hospitality, with a commitment to delivering the Rapport standards in all aspects of the Operations Experience Ambassador role.
  • The ability to lift, stretch, push, bend, and work on your feet for extended periods of time, as well as sit and focus on specific tasks at a desk.
  • Basic computer and technology skills, including office work applications, printers, and videoconferencing software.
  • Basic knowledge of A/V technology or the willingness to learn these systems to help with requests and communicate issues as they arise.
  • The ability to work under pressure, prioritizing tasks and juggling several projects simultaneously.
  • Excellent communication skills, including active listening, email etiquette, and positive body language.
  • Punctual, dependable, and dedicated to achieving operational excellence, down to the smallest of details.
  • Discreet, ethical and committed to maintaining a high degree of confidentiality.
  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.
  • Can manage their time well and think quickly on their feet in order to react to changes as they come up.
  • Creative thinker, able to work in tandem with the client on new ideas, projects, etc.

EXPERIENCE

  • We’re looking for someone with operations or front of house experience within an office environment or a hospitality setting such as hotel or conference center.
