Disability Resources and Educational Services
The College of Applied Health Sciences is accepting applications for an Office Support Associate within the Testing Accommodations Center (TAC) in Disability Resources and Educational Services. This position provides direct assistance with processing, scheduling, and proctoring of accommodated exams in the Testing Accommodation Center (TAC), located in the Disability Resources and Educational Services building.
Duties & Responsibilities

Exam Preparation and Monitor/Proctor Exams

Implement corrections to exams; often received last minute via email. Prepare exams. This includes, but is not limited to, print exams, check physical exam to ensure a match with the TAC database, ensure exams are in the proper accessible format, and convert the exam to an accessible format, if necessary. Package exams to scan in and return to faculty when the testing is complete. Monitor the TAC database to ensure exams are uploaded, student reservations are scheduled properly, and booth assignments are appropriate.
Provide monitoring/proctoring service to exams in real time. This includes but is not limited to; ensure integrity of exam is upheld, respond to student concerns/issues, ensure student safety, verify students have the correct exams, seat students in appropriate locations based on accommodations, gather completed exams, and ensure exams are returned to instructors according to TAC policy.

Using established guidelines and TAC protocols, make decisions on student accommodations if assistive technology fails, the accommodation was not implemented appropriately, the student is unable to complete their exam, the student has questions or concerns about the implementation of their exam, or the accommodations are not a common situation. Elevate issues to the Program Coordinator or Academic Accommodations Specialist, when necessary.

General Office Support

Provide general, day-to-day office support for the TAC and TAC related projects. This includes but is not limited to: Communicating supply order requests; supply organization; screening visitors and calls; file upkeep, creation, and retrieval; departmental documentation upkeep; production of correspondence, etc; record creation and upkeep; serve as a point of contact for the TAC; and other duties as assigned and appropriate for an Office Support Associate. This also includes coordinating with the other full-time employees, so that a full-time staff member is always present in the TAC when exams are occurring.

Monitor Testing Accommodation Center (TAC) Related Communication and email.

Most TAC communications are related to in-house inhouse activity involve a student taking an accommodated exam and include but are not limited to: confirm exam instructions; promptly respond to instructor questions/concerns; inform customers of TAC policies and procedures; implement any/all corrections to exam content; distribute announcements to students/instructors; respond to student questions; accommodate unique situations following TAC policies and protocol. Communication and email are extremely time sensitive and require a response as soon as possible.

Assist with Student Workers

Assist with training and scheduling student workers in the TAC. Monitor day-to-day tasks ensuring they are completing assignments and following TAC policies and procedures.

Other Duties as assigned and appropriate for classification

Minimum Qualifications
  • High school diploma or equivalent.
  • Any one or combination totaling eighteen (18) months from the categories below:
    • College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • Work experience performing office/clerical activities, including the use of computer systems.
Preferred Qualifications

Associate degree or equivalent experience.

Knowledge, Skills and Abilities

Working knowledge of Outlook, Microsoft Office Suite, office equipment (fax, printers, laminator), and Zoom/Teams.

Attention to detail and accuracy.

Ability to work effectively with others, understand office/business procedures, and maintain confidentiality.

Ability to prioritize job tasks. Ability to switch between tasks quickly.

Strong verbal and written communication skills.

Understanding of non-standard testing.

Ability to work with people with a wide range of disabilities.

Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 8/5/2024. The salary for this position is set by a collective bargaining agreement and the rate for the position is $18.924.
