Veterinary Teaching Hospital

Job Summary
This position will coordinate the day-to-day administrative operations at the Veterinary Teaching Hospital-Medication Dispensary, serving as the liaison between the Medication Dispensary and other service areas of the hospital. The coordinator will also be responsible for overseeing the Controlled Drug Surveillance Program, ensuring adherence to regulations by clinical year students, faculty, and staff. Administration

• Collaborate with the Director regarding administration of patient services within the Medication Dispensary to ensure high quality, reliable patient care across all service areas. Work closely with clinical staff to ensure the safety of patients and staff.
• Act as an expert resource regarding university and/or hospital policies and procedures. Interpret and provide guidance as needed to ensure compliance.
• Using client satisfaction surveys, monitor and measure workflow processes and services provided to recommend and implement strategies for improvement.
• Serve as primary liaison between the Medicated Dispensary and other services within the Veterinary Teaching Hospital
• Serve as a member of the VTH Administrative Team, VTH Clinical Coordinators, and CVM marketing team.
• Assess, monitor, and suggest improvements to ensure the quality and safety of production and workflow.
• Oversee clinical research projects adhere to appropriate charging to accounts.
• Serve as the VTH Controlled Substance Surveillance Coordinator.
• Manage standard protocols and procedures related to controlled substances. Ensure protocols and procedures are up-to-date with the campus controlled substance surveillance program and implement any necessary changes.
• Oversee completion of all controlled substance questionnaires and training by students, faculty, and staff.
• Collaborate with OVCRI/DRS to meet regular Controlled Substance Audits.
• Collaborate with college controlled substance oversight position to provide information for college level reporting to OVCRI/DRS, and oversee DEA assignment, maintenance, and required training for clinicians within the VTH.

Financial Management

• Oversee unit fiscal transactions (daily cash receipts, deposits, change requests, and sales records). Ensure the processes and procedures for handling the daily cash and credit card sales are followed in accordance with the guidelines set by the University's OBFS policies.
• Direct patient billing processes for Medication Dispensary. Ensure that the client services staff engage the appropriate clinician when health information charges are not consistent with the client invoice. Facilitate the collection of patient services fees prior to or at the time of discharge. Assist clients with problematic balances. Emphasize client accountability while introducing options to reconcile outstanding balances.
• Provide comprehensive statistical and financial reports involving various metrics. Attend monthly meetings with VTH business office to review financials.
• Manage inventory of dispensary supplies; order from various vendors as needed. Provide purchasing assistance to VSMC faculty and staff.
• Interacts with a variety of hospital employees to determine and resolve billing questions and concerns.
• Actively engages in communications with clients and coordination of responses to issues or concerns expressed by clients.

Human Resource Management

• Work closely with the Director and CVM HR to oversee all aspects of human resources for the Medication Dispensary including recruitment/hiring and onboarding new hires.
• Select, train, and evaluate staff and student employees. Continuously update training materials. Routinely provide coaching and feedback to staff regarding performance. Conduct annual performance appraisals and ensure that individuals goals align with service and hospital goals. Direct performance management processes as needed in collaboration with CVM HR.
• Acknowledge bi-weekly payroll, ensuring policy compliance and collaborating with CVM HR to resolve discrepancies.
• Oversee staffing (including fiscal management) and scheduling to ensure efficiency, economy, and adequate coverage to meet patient care requirements.
• Serve as a resource/liaison to all employees in the Medication Dispensary.

Regulatory

• In collaboration with the Service Head, establish, maintain, and supervise the method and manner for storage and safekeeping of pharmaceuticals, including maintenance of security provisions to be used when the dispensary is closed.
• In collaboration with the Service Head, establish, maintain, and supervise the recordkeeping system for the purchase, sale, delivery, possession, storage, inventory, and safekeeping of pharmaceuticals.
• Serve as Cubex Administrator
• Creation of Cubex employees and application of appropriate restrictions
• Reconciling all discrepancies in coordination with the Service Head and VTH Director.
• Serve as Cubex Overseeing of Cubex machines (monthly meetings, support requests)

Other duties as assigned

Specialty Factors
  1. Bachelor's degree.
  2. Two years of education, training, and/or work experience in instructing pharmacy techniques and procedures.
  3. Demonstrated experience as a pharmacy technician in a veterinary environment.
  4. Demonstrated supervisory experience.
  5. State of Illinois Pharmacy Technician License.


Preferred Qualifications

Experience in management and supervision of daily operation of a pharmacy and/or experience in veterinary pharmacy clinical training programs

Business background and or degree

Knowledge, Skills and Abilities
  • Knowledge of pharmacy operating systems
Appointment Information

This is a 100% full-time Civil Service 5002 - Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible. The minimum salary for this position is $70,000. Sponsorship for work authorization is not available for this position.
