Job Description

The Highlights:
Responsible for program management within the First-Year Academic Success (FYAS) program. Develops strategic communication campaigns to students (via Slate, Sharepoint, publications, and BlueStar), uses data to make recommendations for program improvement, and provides information to students and family members interested in the program. Manages and trains student employees to answer questions and provide excellent customer service to FYAS participants and their families for the success of the program. Processes budget and payroll requests for FYAS and for the Academic Advising Support (OAAS).

What You'll Do:
Communications. Develops communications campaigns for students, faculty, and other campus partners, Creates strategies and content, and directs and sends communications to targeted populations. Analyzes success of communications campaigns and makes modifications, as needed. In particular, develops communications for FYAS-eligible students, including First-Year, new-to-DePaul student populations and others. Creates and executes internal communications campaigns for Office for Academic Advising Support. Monitors, creates content, and provides program strategy for the FYAS Instagram account. Manages updates and analytics reporting for department website(s). Oversees the FYAS email account and chat functions used by new students and their family members and assists with OAAS email account correspondence.
Collects and analyzes data and other information to make recommendations and revisions regarding support for students in prerequisite match courses offered through FYAS and the Math department. Leads the annual review and revision of the "Path to Math" document, a university-wide resource outlining math sequences for majors and minors across colleges, including prerequisite course requirements for students' intended degrees. Makes recommendations to faculty that tutoring, supplemental instruction, additional coursework, might play in the students' classwork, recommended changes to course syllabi, FYAS-specific policy language and recommended changes for program consistency. Manages ongoing updates and analytics reporting for departmental websites. Assists with enrollment, scheduling, communications, and data collection and management. Assists students and their family with questions regarding student placement and selection of courses. Works with Director on matriculation and registration of students and with the development and execution of goals.
Customer service management. Manages 3 - 4 students who answer questions about the FYAS program. Includes all hiring, training, performance management, and professional development. Ensures inquiries from students and their families are answered, and performs troubleshooting and problem-solving on difficult issues. Trains students on program details and customer service. Develops and updates templates to assist with training initiatives. Manages the hiring, paperwork, and
set-up process for new faculty teaching in FYAS. Oversees the technology set-up, payment and hiring process for those participating in the program.
Operations and budget management. Serves as the primary office contact for all internal and external constituencies. Areas of responsibility include front desk supervision and back-up coverage, logistical planning, and telephone and email correspondence. Serves as space and facilities liaison to university departments. Monitors and reconciles all budget activities within the FYAS program and for the Office for Academic Advising Support (OAAS). Maintains records, performs monthly reconciliation, ensures fiscal conformance, and makes recommendations for annual budget requests. Oversees payroll, catering, ProCard purchases, purchase orders, billing, payment registration and budget transfers. Manages FYAS student CTA and book waiver process in collaboration with Financial Aid.
Supervise student staff of 2-6 (Student Assistants and FYAS Tutors). Responsibility for all hiring, firing, performance management and salary reviews. Provides guidance to less experienced staff.
Monitors and reconciles all financial activities associated with the area budget within the First-Year Academic Success program and Office for Academic Advising Support totaling over $400,000. Provides recommendations on budget for annual planning process.
