Description:

Under the HRA - Hiring Manager supervision the Human Resource Representative provides professional, responsible, and complex administrative support for the face-paced, high volume HR department that supports all units of the Office of the Vice Chancellor for Administrative Services.

Duties & Responsibilities:

Works with the Civil Service Hiring Manager to assist with various steps of the on-boarding process.
Schedules candidates for pre-employment physicals and ensures that other pre-employment processes and new hire documentation is complete.
Prepares new hire HR files to ensure that applications, job descriptions, CBC verifications, nepotism forms, and health screens are included.
Assists applicants with online applications. Contacting and communicating with potential candidates. Guiding applicants completing all the necessary recruiting formalities.
Retrieves, reviewing, and qualify applications, resumes, cover letters from JDExpert.
Assist with new employee onboarding. Prepare packets for interviewing committee upon receiving referral lists. Coordinates with department managers to set up interview dates/times and assists selected candidates with online interview scheduling via departmental system (Hiring Manager), Cornerstone, Teams, Webex, etc.
Sends notification emails to the interview committee and candidates to confirm interviews.
Answer routine and not routine inquiries to employees and public.
Assist with recruitment, job fairs, orientation sessions for new and current employees. Assist with terminations including exit interviews.
Maintains departmental databases, (HRWeb, Hiring Manager, HR Manager, update the phonebook, listserv. Performs routine entries, queries, and respective updates to all automated systems new hires, promotions, reclasses, separations, etc.
Tracks completion of mandatory performance reviews, probationary evaluations, job descriptions, trainings. Update the Book phone. Maintains the organization of multiple filing cabinets for current and separated employees. Creating, collecting, maintaining, and updating potential candidates and employee records Ensuring that the candidates are informed about the employee benefits and any other details.
Addressing employee queries in a timely and professional manner. Maintaining the confidentiality of any sensitive information Composes and distributes correspondence internally and externally.
