Job Summary

The Assistant Director of Academic Support plans and administers a variety of student services by performing the following: manages admitted student processes and facilitates activities related to admissions; plans and schedules orientation activities for matriculating students; reviews and confirms that students who have enrolled to graduate school have successfully completed all the departmental as well as Divisional requirements; community within the student population. Responds independently assist in planning and execution of the spring Hooding/Convocation process for the Division; develops programs to build to inquiries from prospective and new students. Addresses student concerns as they develop, utilizing intentional student development methods and approaches. Resolves issues related to, but not limited to: course selection, degree requirements, waivers, pass/fail requests, substitutions, concentrations, tuition billing, withdrawals, and leaves and reinstatements. Develops positive and active working relationships with internal and external constituents including but not limited to the Registrar, the Bursar, University Counseling Services, University and Divisional Deans' Offices, and others to create synergies across departments related to programming, resolution of student issues, and other matters of common interest. Supports the development and/or monitoring the budgets and accounts associated with orientation and Hooding/Convocation. Monitors relationships with outside vendors or partners, ensuring high-quality service standards and overall student satisfaction. Assists the Dean of Students as needed.

Responsibilities
  • The following responsibilities represent Advising and Administration: 50%
  • Serves as primary academic advisor to social work, social policy, and social administration Master's students.
  • Supervise Writing Specialists and Graduate Assistant .
  • Assign faculty advisors and coordinate faculty advisor training.
  • Coordinate note-takers and proctor scheduling.
  • Serves as point of contact for directors of programs of study in the Dean of Students and tracks students participating in a certificate or program of study.
  • Facilitate reporting regarding student standing, which includes quarterly enrollment, grades, and GPA, and communicate more with students and instructors regarding incomplete grades, deadlines, and academic processes.
  • Coordinate and lead Group Advising session logistics, including live and webinar-style presentations.
  • Develop and monitor quarterly communication schedule.
  • Oversee enrollment changes such as switching programs (part-time/full-time), withdrawals, and leaves of absence.
  • Manage the pre-registration process.
  • Manages UPASS Program.
  • The following responsibilities represent Orientation: 30%
  • Takes a lead in planning orientation and transition curriculum for all five programs, including scheduling sessions, coordinating logistics, managing budget, and volunteer management.
  • Coordinate webinar-style orientation and transition sessions before and after orientation.
  • Collaborate with Admissions on developing pre-orientation communications and necessary student prerequisites.
  • Lead the Orientation Planning Committee, including recruitment, training, and meeting management.
  • Creates and administers assessment and debrief meetings for orientation programming.
  • Liaison to the Office of Field Education for the first-year administrative registration process.
  • The following responsibilities represent Graduation: 20%
  • Serves as the lead staff member in DOS, coordinating graduation with the Registrar's and Provost's Offices.
  • Coordinate the degree audit process and system for DOS and send necessary audit updates to the Registrar's Office.
  • Communicate with students regarding graduation and degree conferral details, including the application to graduate and ceremony RSVPs.
  • Manage and collaborate on the logistics of graduation events, including rehearsals, ceremony management, reception, and diploma distribution.
  • Keeps records of student degree programs and notes on student conversations.
  • Write letters of recommendation for students for jobs, scholarships, and graduate schools.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Preferred Qualifications

Education:
  • Advanced degree and three or more years of administrative experience in student affairs, academic support, or closely related environments.

Experience:
  • Experience working in a higher education research institution.
  • Experience with PeopleSoft or similar course management systems.
  • Supervisory experience.
