DEPARTMENT: Environmental Health and Safety

JOB TITLE: Safety/Office Administrative Assistance

WORKDAY GRADE LEVEL: H003

BASE RATE PER HOUR: $22.45 (Pay Range: $22.45 - $25.25)

SHIFT: 1st

HOURS: 8:00 am - finish with the ability to flex time between shifts as needed. Overtime and weekend work as needed. Starting times and hours may vary depending on coverage due to report-offs and the production schedule especially during holidays. Good attendance and punctuality required.

JOB SUMMARY/JOB DUTIES:
The Safety/Office Administrative Assistant will report to the site's Environmental Health and Safety Manager. The role will provide environmental health and safety support by assisting with the development, communication, implementation, monitoring and auditing of safety and environmental programs, while also supporting the site's Finance and Accounting Department.

Principal Accountabilities:
50% Safety Administration:
Assist in compliance reviews, risk assessments and other safety assessments to address the top drivers of the site. Communicate and coordinate actions to resolve environmental, health and safety issues.
Analyze injury statistics to identify root causes and trends; leads facility efforts to prevent/reduce injuries based on these trends.
Maintain relevant EHS programs and documentation and prepare applicable reports, as necessary.
Support in detailed incident investigations and root cause analysis.
Assist with administering and maintaining compliance programs such as Portable Ladder, Fall Protection, HazCom, STF, PIE, LOTO, etc. Assist in facilitating required training for the site.
Review and update site's Job Safety Analysis (JSAs).
Coordinates and leads the EHS-Safety New Hire Orientation Training Program
Oversee Plant Safety Committees (Safety Ambassadors Team, Machine Guarding, ERGO, LOTO, STF, etc.)
Drive health and wellness initiatives and awareness programs.
Supports the DG Safety Audit sections and owners with documentation.
Assists with internal and external audits.
Analytical support for BSO, GEMBA, Inspections, and Near Miss
Alchemy Administrator for required Safety Training for Employees

50% Office Administration:
Support Finance and Accounting Department including the timely creation of purchase orders, receipts, and processing invoices through SAP, Ariba, and US Bank Portals.
Partners with Accounts payable team for processing and vendor management.
Provides payroll assistance, processes payroll exceptions, contingent worker payroll processing and provides payroll data and analytics support to the site.
Provide clerical and administrative support to Plant FP&A Manager.
Tracking, reporting, and analyzing a wide variety of data, routinely or at the request of staff members of the assigned departments.
Administration of Facility's Document Retention program.
Supports company store operations and provides coverage for the company store clerk as needed.
Provides general office support as needed.
Other duties as assigned.

Job Qualifications
Minimum education required: Minimum two-year Associates level degree from an accredited college or technical school in related field.
Education desired: Bachelor's Degree
Years of relevant experience: Minimum 1 year of work experience in related field. Preferred 3 years of work experience in related field.
Knowledge, skills, and abilities required:
Excellent communication skills (both verbal and written). Must possess strong training/facilitation skills.
Working knowledge of Microsoft Suite is essential (i.e., Word, Excel, PowerPoint, etc.).
Knowledge of Downers Grove safety programs and compliance.
Results oriented. Must be self-motivated and a self-starter.
Must have strong planning, organizational, and critical thinking skills.
Must be able to build relationships quickly and create direction without having positional authority.
