Make a Difference in Your Community - the YMCA is now hiring a Regional Eligibility and Enrollment Coordinator!
The Eligibility and Enrollment Coordinator is to facilitate the recruitment and enrollment of youth in the afterschool, camp, and enrichment programs. The Eligibility and Enrollment Coordinator is responsible for ensuring that funding requirements such as Child Care Eligibility Applications, Change of Providers, and Re-determinations are completed and submitted in an accurate and timely manner in order to maximize billing and funding levels. Additionally, the Eligibility and Enrollment Coordinator must ensure that all YMCA enrollment requirements are completed.
Pay starts at $50,000 per year with full-time benefits and opportunities to grow within the organization!
Bilingual in English and Spanish is preferred

Scope and Responsibilities
Assists Program Directors with recruitment efforts, including distribution of promotional materials to families and attending parent/family engagement events
Completes childcare eligibility applications and re-determinations with parent applicants. Determines eligibility, calculates, and collects parent co-payments
Distributes enrollment packets and parent handbooks to families, ensures comprehensive completion of the enrollment packet and enrolls participants in the program
Maintains file/spreadsheet to ensure timely re-determination and submission of eligibility. Sends notices to parents 30 days prior to eligibility expiration and follows up to ensure that all required documents are submitted
Develops and maintains eligibility files on all enrolled families.
Completes childcare billing monthly. Reports on unbilled children/days of service and resolves all unbilled issues. Authorizes supplemental billings
Follows up with parents/guardians regarding collection of co-payments and fees. Enters and maintains co-payment data on tracking spreadsheet
Manages partnerships with CCR&R agencies to ensure submissions are reviewed and our families get clear guidance.
Participates in all audits and ensures documentation is always audit ready.
Assists with parent/family communication and ensures the registration process is seamless.
Minimum Requirements & Preferred Qualifications
Must have a minimum of an Associate's Degree in Business Administration, Management, Accounting principles or equivalent work/education experience
Able to travel locally throughout the Chicagoland area to assigned locations
Must be bilingual in English and Spanish
Knowledge and experience in eligibility standards for a childcare program
Administrative experience is a must
Ability to organize and prioritize multiple tasks, competing for priorities to maximize personal and team effectiveness
Demonstrated interpersonal skills to effectively build and maintain relationships with members, team members, and other stakeholders and constituents and to work in a diverse group is required
Demonstrated customer service skills and skilled in problem-solving and complaint resolution
Proficiency in Microsoft Office (e.g. Word, Excel), email, video conferencing; ability to learn and adapt to new technology
Outstanding written/verbal communications with the ability to adapt the message to an audience

Child Abuse Prevention - Supports the YMCA's commitment to child abuse prevention by:
Reporting any items that may provide a health or safety hazard to staff, members or guests to your supervisor
Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
Reporting any suspicious behavior and violation of policy and procedures to your supervisor
Completing all child abuse prevention training as required
