Central Territory Headquarters LI
Job Objective:
Provides secretarial work for the Intercultural Department involving some independent judgment; general office functions; performs related work as required. Work is performed under the general supervision of the Department Head. The highest level of confidentiality must be maintained.

Essential Functions:
Serves as the office manager for the Department, when Department Head is out of the office.
Composes correspondence, for Department.
File maintenance of correspondence and other records.
Answers telephone and gives information to callers or routes call to appropriate staff.
Post and update department social media.
Arranges travel schedule and reservations for Department Head and support staff.
Process invoices/check requests that relates to the Department.
Maintains mailing lists.
Prepares outgoing mail and handles shipping and receiving package.
Recruitment of volunteers if needed.
Compile and organize materials for workshops to be taught and also for programs/events (Leadership Training and etc.).
Prepare proposed budget and review budget comparison every month making sure department is staying within budget.
Responsible for maintaining and ordering office supplies.
Records meetings and Territorial Intercultural Ministries Seminars.
Make Travel and hotel arrangements for the Territorial Intercultural Ministries Seminars and The ONE Conference.
Plans with conference center for the Territorial Intercultural Ministries Leadership Seminars, Cultural Awareness Week, and other department events.
Coordination of Territorial Leadership Seminars.
Assist in planning activities for Cultural Awareness Week here at THQ.
Make contacts, visit facilities, and receive quotes with hotels to have our territorial Biennial Intercultural One Conference.
In charge of registration before and during Territorial One Conference. Sorts registration forms by division and receives registration payments, deposits them to the correct account. Assist in the planning and organizing of the Biennial Conference
Department Representative during and after the Biennial Territorial One Conference. Ensures that all documents are received, and payment made for all presenters.
Prepares translation equipment for Territorial Events such as Commissioning and Cadets Welcome, etc.
Minimum Qualifications:
Education & Certification:
A high school diploma or equivalent is required. Some college preferred.
Experience:
Two years related experience and/or training in an office setting; or equivalent combination of education and experience. At least one year experience using social media. Event planning experience.
Knowledge, Skills and Abilities:
Must have good communication skills - written and verbal.
Effectively present information and respond to questions.
Bilingual in Spanish is beneficial but not required.
Good computer skills.
Knowledgeable in office procedures and equipment
Proficiency in Office 365 (PowerPoint), Team, Presentation and Excel.
Good knowledge of social media
Professional phone, people and organizational skills
Able to interpret a variety of instructions furnished in written and oral, diagram or schedule form.
Willing to type select correspondence in other languages, i.e. English to Spanish or Spanish to Spanish.
Supervisory Responsibility:
None.
