TITLE:

Member Operations Coordinator

REPORTING RELATIONSHIP:

Senior Manager, Member Operations and Data Services
BASIC FUNCTIONS:

Support the American Academy of Pediatrics (AAP) section/council member entity and section/council affiliate application process. Assist with the coordination and maintenance of accurate AAP membership records, approval and welcoming new national members, and preparation of monthly membership reports. Assist with ongoing CRM activities including enhancements, testing, and data management support. Provide administrative support to the Member Operations and Data Services team. Ensure premier member service in all communications.

DUTIES AND RESPONSIBILITIES:

1.Produce and distribute section/council data and trend reports to help with strategic recruitment and retention decision making.
2.Determine eligibility of section/council affiliate membership applicants as set forth in the pertinent AAP section/council bylaws. Correspond with applicants as necessary to obtain all documentation.
3.Maintain complete and accurate records in the database for section/council members and affiliates.
4.Work closely with section/council Membership Chairs to ensure timely and accurate approval of all section/council membership applications.
5.Maintain a detailed report for tracking section/council memberships through the approval process.
6.Support management of online membership application process.
7.Create and distribute various new member reports, including PAS and new Fellows for AAP News and AAP.org.
8.Assist staff with the external association member data exchange process to update NetForum, including processing unmatched records.
9.Support the operational aspects of the AAP Enterprise membership (IM) program, including generating Value Pricing Models (VPM), setting up and relating members to the program, and executing interim member additions and removals.
10.Provide support for the Dues Sponsoring Program including roster edits, invoicing process, non-invoice requests, and assist with roster related inquires.
11.Assist with processing the In-Training Member Change of Status forms.
12.Perform other duties as assigned.

EDUCATION:

Bachelor's degree in business, communications, or related discipline required or an equivalent combination of relevant education and work experience.

EXPERIENCE:

At least two years' related general administrative experience required, including some work with membership/customer relations activities, and maintaining database information. Experience with member data and eligibility highly desirable. Experience with membership marketing, project management, process improvement, and working in a medical association preferred.

ESSENTIAL SKILLS:

Excellent analytical, interpersonal, organizational, project coordination, customer service, and verbal/written communication required. Strong technical acumen essential with proficiency in MS Office, databases, and the ability to learn and apply new technologies; experience with document collaboration platforms (e.g., SharePoint), virtual meeting platforms (e.g., Webex, Teams), and CMS (e.g., netForum) preferred. Must be able to manage multiple priorities simultaneously within established deadlines, pay close attention to detail, work both independently and as part of a team, take initiative, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion. Some overtime, evening/weekend work, and travel required.
Hybrid work environment of 40% of work time in the office per month.
