The Admissions Data Administrative Assistant is a responsible to the Admissions Coordinator. The primary responsibilities of this position are two-fold; to assist with data management related to records creation from the New Student Application Forms and the creation of General Student Records in Banner and helping to greet new students in Admissions both over the phone and in person. This position is also responsible for ensuring prospective student data is accurately entered, maintained, and retrieved for necessary reporting not only in the Banner system, but the Customer Relationship Management (CRM) system. This includes data entry and processing related to communication campaigns.
Ensure the accuracy of data being entered into the Banner Student System as New Student applications are submitted, update existing records in a timely manner, and identify in a timely manner those applications that are potential duplicate records.
Review submitted New Student Application Forms in order to determine potential fraudulent applications.
Provide coverage for the Admissions and New Transfer-In phone queues.
Greet prospective students and visitors as they enter the Admissions suite in the Student Center and check them in for appointments.
Review daily reports of students at risk of being dropped for non-payment and coordinate with Admissions Advisors to conduct follow up outreach to these students.
Review daily reports of students recently re-admitted to the college and generate a list of students who require follow up outreach from an Admissions Advisor.
Generate "Welcome" letters for new students.
Scan and index Admissions documents into Xtender.
Assist with entering, maintaining, updating and reporting prospective student data within the CRM.
Work with the Admissions Manager to coordinate and maintain print and email communication campaigns in the CRM for prospective students.
Conduct training and provide support for entry and maintenance of prospective student records.
Retrieve data from the Banner system for admissions and reporting purposes.
Coordinate the prospective student communication flow, including generation of letters to prospective students and the coordination of mail packets.
Generate and prepare tele-counseling call lists from the CRM.
Assist with the Student Ambassador and Gustafson Scholarship program activities as needed.
Maintain the security of student records, both physical and electronic.
Process assigned computer work, office correspondence, or filing.
Assist in providing activities for office student workers.
Provide prompt, friendly service to prospective students, WCC students, and staff/faculty.
Perform other duties as assigned.
Minimum Qualifications
High school diploma or equivalent required; Associate degree preferred.
Bilingual (English/Spanish) ability preferred.
Ability to work one evening per week required.
Two years related office experience required.Experience in a college environment a plus.
Strong typing or data entry skills required and Banner experience a plus.
Customer Relationship Management (CRM) system knowledge a plus.
Experience with word processing and spreadsheet programs and good computer knowledge.
Ability to work with multiple tasks and priority levels concurrently.
Excellent human relations and customer service skills and proven ability to function effectively with a wide variety of people in a dynamic environment. Please attach the following documents when applying:

Work Schedule: Other Monday, Tuesday and Thursday 8:00 a.m. - 2:30 p.m., Wednesday 1:00 p.m. - 6:30 p.m.
