Job Description:
Project Coordinator
Remote + occasional travel to LaCrosse, WI (once or twice per quarter for 3-4 days at a time)
Long term contract (option for contract to hire based on performance + opportunity for growth to Project Manager)
- Additional notes: EDI coordination responsibilities
- No EDI configuration experience will be required
- 20 documents related to invoices that must be completed before EOY
- Another example would be Walmart – they are now a large client of City Brewing and they need to get them set up with EDI transactions
- Project Coordinator will be responsible for coordination between development, testing, and Program Management teams as well as keeping PMO Director up to date on status
- Tactical coordination (status updates, meeting coordination, follow up between stakeholders for documentation, etc.)
- Ideal candidate background: Customer Success within manufacturing/transportation/logistics with EDI familiarity
- IT Project Management skills are not required – they are able to bring PM knowledge up to speed
Position Summary
The Senior Project Coordinator plays a critical role in supporting the execution and delivery of key projects across the organization. This role partners closely with Project Managers and cross-functional stakeholders to drive task completion, maintain project documentation, monitor timelines, and ensure consistent communication and reporting.
Key Responsibilities
- Support end-to-end project lifecycle activities from initiation through closure.
- Maintain and track project schedules, action logs, and deliverables.
- Coordinate and schedule meetings, workshops, and stakeholder communications.
- Prepare meeting agendas, capture notes, and follow up on action items.
- Update project trackers, dashboards, and status reports regularly.
- Manage document control and versioning for project artifacts.
- Assist with risk, issue, and change tracking logs.
- Ensure alignment with PMO standards, templates, and governance practices.
- Liaise with vendors, contractors, and internal teams to ensure timely delivery.
- Contribute to continuous improvement of project coordination processes.
Qualifications
- Bachelor’s degree in Business, IT, Engineering, or related field.
- 3–5 years of experience in project coordination, ideally in a fast-paced or regulated environment.
- Familiarity with project management tools (e.g., Microsoft Project, Smartsheet, Asana, or MS Planner).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).
- Excellent organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities and work independently with minimal supervision.
Preferred Skills
- Experience working in a PMO or with cross-functional enterprise project teams.
- Exposure to Agile or Waterfall project methodologies.
