Job Description
The Accounts Payable Assistant will be working in our Downers Grove, IL corporate office 5 days a week.The corporate office is a home location for over 325 employees in all of the various support functions. Downers Grove is one of the best places to live in Illinois and known for its fantastic public schools and has developed into a bustling Chicago suburb with many diverse businesses. This southwestern suburb of Chicago offers a historic downtown with beautiful architecture, superior shopping, restaurants and entertainment experiences.
Job Summary:
Responsible for shared services Accounts Payable/Disbursement functions, along with other General Accounting/GL functions as needed.
Job Duties:
Duties may include, but are not limited to the following:
• AP mailbox
• Manage the ICC
• Opening mail / scanning invoices, printing emails when more than 10 invoices come in.
• Stuffing Special Handling, checks and adding postage.
• Special projects assigned by AP Manager.
• Managing customer accounts, posting invoices, follow up with appropriate parties relating to all pricing discrepancies and quantity differences outside of approved tolerances.
• Maintain Vendor Master Records in SAP following HFS procedures (forms, W-9). Make vendor updates as necessary.
• Review supplier statements for aged items.
• Monthly review of GR.IR report. Follow up as appropriate with Suppliers, Purchasing, Inventory Control, Receiving, etc.
• Monthly review of Accounts Payable Open Items Report. Review for aged invoices, debit memos, blocked invoices.
• Participate in the data gathering/verification as part of the annual 1099 process.
• Maintain all vendor files.
Required Competencies & Knowledge:
Knowledge of:
• Procurement, products, and production processes
• Knowledge and experience with SAP is helpful
Skilled in:
• Prioritizes work based on short and long term objectives
• Successfully analyzes and presents data to multiple levels of the organization
Ability to:
• Communicate effectively both verbally and in writing.
• Successfully multi-task
• Ensure collaborative relationships with industry, trade, other associations, regulatory agencies and Maker's Pride staff.
• Lead 'best in class' behaviors with focus on safety, quality, and policy focus
Proficiency in: MS Office Suite
Work Environment:
• Work is primarily done in an office setting
Physical Requirements:
• Sitting at a work station for extended periods of time
• Stand, walk, climb stairs on an infrequent basis
• Must be able to lift 20 pounds on an infrequent basis.
Minimum Qualifications:
• Must have High School Diploma (or GED equivalent). Associates or Bachelors Degree in Accounting is a plus
The pay range for this full-time, salaried position is $35,764 - $53,646/year. Individual base pay depends on work location and additional factors such as experience, job-related skills, and relevant education or training. The position is eligible for a discretionary annual incentive based on company and individual performance. We offer a comprehensive benefits package including health, dental, 401k and wellness benefits beginning on the first day of employment.
