Southern Illinois University Edwardsville is seeking a Business Administrative Assistant (CS25-268) who's equal parts budget guru, operations maestro, and organizational ninja.
What You Will Do:
  • Master of the Money - Create, adjust, and manage the full budget suite for Facilities Management (FM) and the Police Department (PD). You'll be the go-to for all things dollars and sense.
  • Liaison Extraordinaire - Be the central contact for all business affairs and operations - translating between departments, solving mysteries, and putting out (financial) fires.
  • Boss Mode - Supervise FM staff involved in business ops like a pro - mentoring, managing, and motivating your team to greatness.
  • Payroll Powerhouse - Own the payroll process for both units. You're the timecard titan.
  • Accounts Jedi - Independently manage accounts payable and receivable. You'll know who's paying who, when, and why - before they even do.
  • Request Wrangler - Handle all internal and external service requests across four campuses. Think of yourself as the mission control for maintenance, renovations, and special projects.
  • Task Tracker Supreme - Monitor every project's status, billing, assignments, and cost like a financial Sherlock Holmes.

Minimum Acceptable Qualifications

-Bachelor's degree in Business, Accounting, Finance or related field
-5+ years progressive experience and responsibility with a thorough understanding of business and financial operations (budgeting and accounting experience)
-2+ years experience with extensive job costing of various cost elements to multiple sources of funds and years can be concurrent

Preferred Qualifications:
-Master's Degree in Business, Accounting, Finance, or related field
-3+ years experience in higher education financial affairs and budgeting
-3+ years supervisory experience.

Demonstrated expert level knowledge in Microsoft Excel, including experience developing and working with financial forecasts and models. Strong management, organizational, communication, and interpersonal skills. Detailed knowledge of complex accounting and fiscal management principles, as well as university, state, and federal policies and regulations. Knowledge of personnel management principles and procedures. Knowledge of basic managerial and administrative skills needed to make decisions, set deadlines, plan and schedule work flow, and communicate effectively with internal and external administrators.
