Primary Duties and Responsibilities:
Perform the administrative assistant office support functions involved with the Suburban Law Enforcement Academy. Coordinate common activities related to programs within the Basic Academy (BA) program, and the Director's office.

  • Responsible for handling highly confidential information for the Director and the SLEA Academy regarding law enforcement personnel and incidents.
  • Participate with the SLEA staff in assisting in the coordinating in the implementation of new courses.
  • Compose memos and letters as requested by the Center Manager, BA Manager, and Program Coordinators; handle all correspondence, directives, and reports requested by the Manager, BA Manager, and Program Coordinators. Attend various meetings and take minutes as requested by the Center Manager, including quarterly SLEA Advisory Council meetings.
  • Manage multiple deadlines (internal and external) and coordinate the submission of various reports for SLEA.
  • Coordinate meetings and classroom space within the COD facility for the BA programs. Schedule appointments and maintain calendar for the Center Manager.
  • Monitor monthly budget expenses for SLEA's accounts, initiate corrections, and alert the Center Manager and/or Executive Director to potential problems within these accounts. Recommend budget transfers as needed.
  • In conjunction with the Center Manager, prepare SLEA's budget, including making recommendations regarding office capital and supplies, e.g., furniture, equipment (hardware and software). Point-of-contact for interacting with the College's Research and Planning Department.
  • Utilize a variety of computer-based application packages for creating presentations, spreadsheets, desktop publishing, access database, etc. Mentor support staff on the use of these systems.
  • Responsible for maintaining SLEA's "hard copy" file system, which includes administrative, employee (faculty), basic police training files. This involves ensuring filing is done in an accurate and timely manner. Periodic auditing of the files for completeness, accuracy, and purging of obsolete and/or outdated contents.
  • Must be knowledgeable with regard to all aspects of SLEA's programs (credit and non-credit) to assist support staff in answering detailed questions from the public and law enforcement agencies. Must maintain up-to-date knowledge of SLEA programs and partners.
  • Have contact with SLEA clients (police departments, prosecutor's offices, state and federal agencies); make decisions to direct calls to proper authority.
  • Oversee inventories of instructional and administrative supplies for the BA and SLEA office.
  • Manage SLEA's computerized information system including the input of information, the development of new database, and auditing of the system to ensure accuracy of contents (i.e. SLEA website).
  • Process SLEA Instructor payroll.
  • Place orders and process invoices for all SLEA purchases.
  • Other related duties as assigned.


  • Qualifications:

    • Education
      • High School graduate or equivalent required.
      • Associates Degree in Office Technology preferred.
    • Experience
      • Four (4) years of experience in a high level administrative support position required.
      • Typing speed of 65 wpm required.
      • More than four (4) years of experience in a high level administrative support position with extensive knowledge of Microsoft Office software and Database experience preferred.


    Working Conditions:

  • Personal computer and related peripherals, telephone, calculator, copier, scanner, printers, software application programs.
  • Busy law enforcement environment.
  • This position requires a background check and drug screen.

    Hiring Range:
    Starting pay begins at $20.14/hr. based on experience

    Competitive starting pay is dependent on education and experience.
