The Mechanical Science and Engineering department seeks to fill the Online Programs Coordinator position in the Master of Engineering in Mechanical Engineering (M.Eng.ME) Program office. This position is responsible for daily administration and operation of the online Master of Engineering in Mechanical Engineering (MEngME) program, online Graduate Professional Certificate programs within Mechanical Science and Engineering (CERT), and all online undergraduate and graduate courses offerings. Assist with daily administration and operation of the on-campus MEngME/CERT programs in coordination with the MEngME Director and the MEngME Program Coordinator. These activities will include admissions, recruitment, marketing, advising, and managing of current student affairs; and development and management of all online course offerings for undergraduate and graduate-level courses in the department.

Duties and Responsibilities:

Online Programs Administration & Academic Advising

• Plan and execute new student orientations and otherwise assist with virtual onboarding of new students.

• Utilize the GradApps system to prepare various reports on the online graduate programs such as applications, enrollment, and admissions for the Department, College, and Graduate College. Prepare ad hoc reports as needed or requested.

• Maintain MEngME program website, academic catalog entries, and print materials for accuracy.

• Direct and manage the online program application and admissions process. Take primary responsibility for handling applications and admission of students to the online program including initial pre-evaluation and final notifications.

• Coordinate with the MEngME Program Coordinator, who has primary responsibility for on-campus MEngME admissions.

• Prepare and submit required applicant materials to the Graduate College.

• Communicate regularly with prospective students and applicants regarding admissions requirements and the application process, including providing knowledgeable guidance and relevant resources.

• Prepare the MEngME Graduate Programs Handbook outlining policies, procedures, degree requirements and campus information with MEngME Director and Coordinator, with a focus on policies, procedures, and degree requirements pertaining to online students.

• Advise incoming and current students on online course availability and selection, graduation and certificate requirements, academic policies and procedures; communicate regularly with students to share departmental, college, and campus resources, services, and opportunities.

• Maintain student records and complete program administration processes, graduate petitions, forms to Graduate College, and other procedures required by the Graduate College for online students and coordinate with MEngME faculty Director.

• Assist with program reviews and annual reports for the MEngME and CERT online programs.

• Track and maintain admission, enrollment, and graduate statistics.

• Collect program and course feedback from current students.

• Collect and analyze outcome data from graduating students and alumni of the online programs, such as Illini Success Survey results, focus groups, and informal conversations.

• Serve as liaison for cross campus units involving the MEngME and the CERT online programs such as the Grainger College of Engineering, Offices of the Graduate College, Registrar's Office, Engineering Career Services, other Professional Master's Programs Offices and other Campus Offices.

• Collaborate with Grainger College of Engineering and MechSE Department to plan student events and functions.

• Identify funding opportunities and assist students in submitting proposals and scholarship applications.

• Work with Corporate and Alumni Relations to strengthen ties with Industry partners.

• Participate in MechSE alumni events with a focus on graduate and professional education outreach.

• Coordinate the degree certification process of online students to ensure students meet the degree requirements toward degree conferral.

Recruitment/Program Development Activities

• Together with MEngME Faculty Director, the Associate Head for Graduate Programs, and their staff, develop and implement strategic recruitment means for the online graduate programs.

• Develop, implement, and maintain programs to effectively recruit prospective students to the MEngME online and Professional Certification programs to meet the program's aggressive goals and objectives for growth in enrollment. This includes identifying potential prospective student markets, developing communications programs and presentations to effectively reach those markets, and establishing networking relationships with institutions of higher education and corporations which effectively recruit students into the program.

• Develop and maintain communications for the graduate programs and both graduate and undergraduate online course offerings, including but not limited to written publications, brochures, web pages, social networking and other media. This is addressed in the duty below:

• Develop and implement strategies to market the programs and online courses to prospective students through initiatives including participation in MechSE undergraduate programs, Communications Office interactions, campus activities, engagement of industry sponsors, and attendance of national conferences, which includes some evening and weekend commitments and travel.

• In collaboration with the Communications Office and Undergraduate Programs Office develop marketing tools on social media to advertise ME and TAM online course offerings.

Online Program

• Facilitate logistics associated with existing and new online course offerings; work with MechSE faculty to facilitate existing and new online course offerings.

• Facilitate online offerings for all MechSE courses (undergraduate and graduate) which includes working closely with faculty to establish tools for active learning, office hours. and classroom management.

• Work with the college graduate online programs to utilize their resources for online learning.

• Coordinate training materials and opportunities for faculty, TAs, and students Involved in MechSE M.Eng. Online and Professional CERT programs.

• Work with department staff regarding classroom technology maintenance and support.

Assist with other duties as assigned, including the development of new initiatives for the programs and department.

Specialty Factors:

Bachelor's degree in education, engineering, communication, or related field.

One (1) year (12 months) in education, training, and/or work experience in graduate programming in higher education. (A master's degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) work experience.)

Demonstrated experience with graduate admissions and/or recruitment activities.

Preferred Qualifications:

Master's degree in education, engineering, communication or related field.

Two years of experience in a field related to online and/or blended learning, could include experience as a student in such programs.

Experience in marketing, sales, social media, or similar activities.

Previous experience using SLATE or uAchieve programs.

Knowledge, Skills and Abilities:

Excellent command of grammar, spelling, punctuation, and writing skills. Excellent customer service, follow-up and technical computer skills. Ability to organize and manage diverse activities. Familiarity with the graduate admissions policies and procedures. Comprehensive understanding of University, College, and Department organization, objectives and goals.

Additional Physical Demands:

Evening or weekend office hours may be required to support a primarily working professional student body.

Appointment Information:

This is a 100% full-time Program Coordinator civil service classification, appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. The budgeted salary range for this position is $60,000-$75,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.

Hybrid work options may be available for this position, with the ability to be on-site at the University of Illinois Urbana-Champaign campus as needed er the University's Workplace Flexibility policy.
