Start Date: Late October 2025
Hours: ~20 hours/week to start; ramping up December-March
Duration: Through March 2026, then project-based
Event Dates: January 21 - Houston, January 29 - Los Angeles, February 10-11 - Chicago
We're seeking a freelance Event Specialist to support a series of high-touch, invite-only events primarily internal and media-facing through Q1 2026. This is a logistics-heavy role focused on execution, coordination, and project management. No strategy, content, or production work, just operational excellence.
Responsibilities:
- Manage logistics for internal and external events (up to 4 concurrently)
- Coordinate with security teams for hangar-based arrivals and guest flow
- Liaise with media contacts and high-level stakeholders
- Handle all non-mainstage logistics: hotel sourcing and room blocks, food & beverage ordering, transportation (shuttles, black car services)
- Swag procurement, executive scheduling, registration and reporting, lanyards, signage, and event materials.
Requirements:
- Proven experience managing complex event logistics
- Comfortable working with media lists and VIP stakeholders
- Strong project management skills; highly organized and detail-oriented
- Available for required travel dates (see above).
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
