Job Description
- Oversee the daily administrative operations of the medical SPA, including patient scheduling, customer service, office organization, and ensuring smooth day-to-day functioning.
- Ensure a high level of customer service by addressing patient inquiries, resolving complaints, and managing patient communications.
- Maintain accurate and confidential records of patient visits, treatments, and payments, in compliance with HIPAA and other regulatory standards.
- Coordinate billing procedures and manage insurance claims, ensuring that all charges are accurately processed, and payments are collected timely.
- Oversee inventory control, ensuring that medical and spa products are adequately stocked, ordered, and maintained.
- Ensure all spa operations comply with medical industry regulations, health and safety standards, and other relevant local or federal requirements.
- Manage the recruitment process for staff, including job postings, interviews, hiring, and onboarding new employees.
- Organize and coordinate training programs for staff to ensure they are knowledgeable in medical SPA procedures, customer service, and safety protocols.
- Foster a positive work environment by addressing employee concerns, managing conflict resolution, and promoting team-building activities.
- Ensure accurate processing of payroll, including tracking employee attendance, hours worked, and ensuring compliance with labor laws and company policies.
- Conduct regular performance evaluations, provide constructive feedback, and assist with employee performance improvement plans.
- Stay updated on employment laws and regulations (including labor laws, medical regulations, and workplace safety) to ensure the SPA remains compliant with all local, state, and federal requirements.
- Manage staff schedules to ensure adequate coverage during peak hours while maintaining a work-life balance for employees.
- Oversee scheduling and coordination of medical treatments and spa services to ensure that appointments are efficiently managed, and resources are utilized appropriately.
- Monitor the quality of services provided to clients, ensuring high standards of care are met in every aspect of the operation, including treatment effectiveness, cleanliness, and customer satisfaction.
- Assist with budgeting, financial tracking, and cost management to ensure that the spa operates within its financial means while maintaining high service standards.
