Position Overview

The Illinois Department of Insurance is seeking to hire an Office Coordinator in the Public Pension Section of the Financial Solvency Division.  The Public Pension Section utilizes teamwork, professionalism, and a congenial work environment to provide quality assistance and resources to Illinois public pension funds. This position provides secretarial and complex, specialized office support functions; carries out advanced word processing functions; maintains filing systems ensuring documents are readily available for reference; answers incoming electronic communications, relays messages, and represents the Deputy Director of Public Pension through routine written and oral communication. The position will work with a driven, knowledgeable, and accommodating staff to maintain efficient operations of the Section. We invite all qualified applicants to apply. 

Essential Functions

• Under direction of the Deputy Director of Public Pension, provides secretarial and complex, specialized office support functions.
• Answers incoming electronic communications, provides assistance, relays messages, receives visitors and represents the Deputy Director through routine written and oral communication.
• Composes and keyboards replies to routine correspondence and requests for materials.
• Performs duties to maintain efficient operations of the Section.
• Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

• Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college or completion of high school and two (2) years of related office experience or two (2) years of independent business experience.
• Requires skill in keyboarding accurately at 30 wpm.

Preferred Qualifications

• Prefers at least two (2) years of experience with a high level of organizational skills and professionalism. 
• Prefers extensive knowledge of office practices, procedures, and programs. 
• Prefers at least two (2) years of experience with Microsoft Office, including Word, Outlook, Excel and Access, Laser fiche, and Web-based programs. 
• Prefers at least two (2) years of experience representing government bodies or public agencies in written and oral communications. 
• Prefers extensive knowledge of composition, grammar, spelling, and punctuation. 
• Prefers at least two (2) years of experience following oral and written instructions.  
• Prefers at least two (2) years of experience operating commonly used manual and automated office equipment and performing routine maintenance. 
• Prefers licensure as a notary public or willingness to obtain licensure as a notary public. 
• Prefers general working knowledge of Illinois Pension systems in Illinois, or willingness to partake in training on the operations of Pension Systems in Illinois.
