SUMMARY

At the direction of the Senior Administrative Officer, the Corporate Services Coordinator provides key support to administrative, operational, and project coordination functions. They provide support to executive leadership, maintain corporate records and contracts, and serve as a central point of contact for corporate initiatives to ensure compliance and continuity across multiple administrative functions.

The ideal candidate for this role should be an organized, effective communicator with a history of successful project coordination, office management, and/or administrative support. A professional demeanor and the ability to manage multiple priorities in a fast-paced environment will be essential to this coordinator’s success.

By maintaining organizational documentation, tracking critical deadlines, and coordinating projects and professional relationships, the Corporate Services Coordinator ensures that corporate services align with organizational objectives.

ESSENTIAL DUTIES

  • Provide administrative and operational support to the Senior Administrative Officer, responding to routine requests, coordinating activities, and facilitating department initiatives.
  • Prepare and distribute correspondence, reports, presentations, spreadsheets, executive summaries, and other business materials, including sensitive and confidential information.
  • Coordinate projects, meetings, and department initiatives by tracking action items, deadlines, deliverables, and follow-up activities.
  • Administer contract management processes in partnership with the Legal department, including contract records, approval workflows, renewal tracking, insurance requirements, and key contractual obligations.
  • Maintain contracts, legal records, and organizational records in accordance with records retention and document management requirements.
  • Support the administration of the Bank's insurance programs by coordinating with brokers, carriers, and internal stakeholders and maintaining related policies and records.
  • Assist with insurance renewals, underwriting activities, claims administration, and compliance with insurance-related requirements across Bank operations.
  • Support vendor management activities, including vendor onboarding, due diligence, contract tracking, records maintenance, and renewal monitoring.
  • Maintain strict confidentiality of organizational, legal, insurance, contractual, governance, and business information while supporting compliance, information security, and risk management practices.
  • Assist with strategic planning efforts by coordinating planning activities, materials, and related administrative support.
  • Support internal communications, organizational announcements, and team member engagement initiatives in partnership with the Communications department.
  • Coordinate facilities-related projects and office support activities, including maintenance initiatives, space planning, and workplace services.
  • Assume responsibility for special projects as assigned.

EDUCATION & CERTIFICATIONS

  • Bachelor’s degree in Business Administration, Business Management, Communications, a related field, or a commensurate combination of education and experience required.
  • A minimum of three years of experience in administrative support, project coordination, office management, or a related field required.

MINIMUM REQUIREMENTS

  • Demonstrated understanding of administration practices, records management, contract coordination, and organizational support functions.
  • A highly organized approach to work, with the ability to clearly define inefficiencies, offer appropriate solutions, and document processes.
  • Change management skills and the ability to effectively help team members adapt to new policies and procedures.
  • Confident decision-making abilities and the skill to use sound judgment about the timing of choices; particularly the ability to make informed, responsible decisions with limited information or under considerable amounts of stress.
  • Strong critical-thinking skills and the ability to analyze potential project outcomes with the adaptability to redirect attention as needed to meet targets and deadlines.
  • Excellent communication skills and the ability to communicate effectively, verbally and in writing, within the organization at all levels.
  • A positive and proactive approach to work, demonstrating enthusiasm, adaptability, and the ability to maintain composure and professionalism in stressful or adverse conditions.
  • Proficient computer literacy, including comfort with Microsoft systems and Office Suite.
  • Intermediate typing skills to meet the needs of this position.
  • Current driver’s license and reliable transportation with appropriate insurance coverage; additionally, the ability to drive occasionally while performing assigned duties and responsibilities.
  • The ability to work with minimal or no supervision.

ADDITIONAL QUALIFICATIONS

  • Direct experience in an administrative and/or project coordination role within the financial services industry strongly preferred.
  • Project management or relevant industry certification strongly preferred.
