Project Specialist, Ad Agency Our client is seeking a Project Specialist to support the planning, coordination, and execution of print and digital marketing projects within a fast-paced in-house advertising environment. This role partners closely with Project Managers, creative teams, and cross-functional stakeholders to ensure projects move efficiently from kickoff through completion. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while supporting project timelines, documentation, approvals, and communications across a high-volume creative organization.

The Basics

  • Duration: Long-term contract opportunity
  • Hours: 40 hours per week
  • Location: Hybrid 

Required Qualifications

  • Bachelor's degree required
  • 1+ years of project coordination, project management, marketing, or agency experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple projects and competing priorities simultaneously
  • Strong attention to detail and follow-through
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, Teams, and SharePoint
  • Experience with project management platforms such as Workfront, Kantata, or Mavenlink is preferred
  • Understanding of creative, marketing, print, or digital project lifecycles
  • Pharmaceutical, healthcare, or regulated industry experience is a plus
  • Familiarity with Veeva PromoMats or Medical/Legal/Regulatory review processes is preferred

Key Responsibilities

  • Support Project Managers in planning, scheduling, coordinating, and executing creative marketing projects
  • Develop and maintain project schedules, timelines, and status reports
  • Track project milestones and ensure deliverables are completed on schedule
  • Coordinate project activities between creative, production, digital, and stakeholder teams
  • Capture meeting notes, action items, and project updates and distribute them to stakeholders
  • Manage project routing and approvals through internal workflow systems
  • Prepare documentation and materials for Medical, Legal, and Regulatory review processes
  • Monitor project progress and escalate risks or timeline concerns when necessary
  • Maintain project documentation, specifications, estimates, and file management systems
  • Assist with project budget tracking and financial reporting
  • Support resource coordination across creative and production teams
  • Ensure compliance with established workflow processes, branding standards, and internal guidelines
  • Track and maintain accurate time reporting

In this position, you may have access to client or customer systems, confidential and/or proprietary information or data, including medical data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment. Additionally, drug products may be present in the workplace.
