Essential Functions

  • Under direction, performs secretarial support duties for the Individual Processing Division (IPD) Manager and administrative staff.

  • Serves as Division timekeeper.

  • Coordinates reporting and special project assignments for the Division Manager.

  • Serves as receptionist for the Division.

  • Performs complex clerical duties requiring independent decision-making.

  • Maintains budget records for the Division Manager relative to personal services, equipment, overtime, etc., and advises Division Manager if it appears that IPD may need to request additional appropriations.

  • Attends and participates in IPD staff meetings.

  • Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two years of secretarial or business college and one year of secretarial experience OR completion of high school and three years of secretarial experience.

  • Requires the ability to keyboard accurately at the rate of 55 Words Per Minute (WPM).

Qualifying state employees in the Upward Mobility Program may complete specific proficiency tests and/or training programs leading to a certificate of proficiency in lieu of the stated requirements for this class.

Preferred Qualifications

  • Three (3) years of experience composing correspondence, memos, statistical reports, etc., using standard business terminology.

  • Two (2) years of experience organizing and maintaining paper and digital records utilized in daily business operations.

  • Two (2) years of experience performing timekeeping functions for a group of employees.

  • Two (2) years of experience creating or developing written instructions and procedures regarding job duties.

  • Intermediate proficiency working with Microsoft Excel or similar spreadsheet software.

  • Intermediate proficiency working with Microsoft Word or similar word processing software.
Conditions of Employment

  • Requires the ability to successfully complete a tax compliance and fingerprint-based background check.

  • Requires ability to push and pull carts of work and lift tubs and boxes of supplies/documents.

  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567©). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.

  • Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.
